Job summary

Solomon Page is seeking a Vendor Management Associate & Office Administrative Coordinator to support daily office operations and the vendor lifecycle, primarily aiding the Chief Accounting Officer and Vendor Management Team. The role combines onboarding, policy enforcement, risk review, and event coordination in a hybrid Tampa office.

The ideal candidate has 2–3 years in office/vendor management, a bachelor’s in a related field, and strong communication.

  • Requires 3–5 days per week on-site in a fast-paced office environment with regular interaction across all levels of staff.

  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities.

Responsibilities

  • Office Operations Support: support day-to-day administrative operations and office management functions to ensure a productive and well-organized work environment.
  • Manage office supply inventory and coordinate procurement of supplies and equipment.
  • Facilitate onboarding of new employees, including workspace setup, access provisioning, and orientation materials.
  • Coordinate with building management, vendors, and service providers on facility matters.
  • Prepare and distribute correspondence, memos, reports, and presentation materials as directed by leadership.
  • Provide dedicated administrative and clerical support to the Chief Accounting Officer.
  • Process and track expense reports for the CAO, ensuring accuracy and timely submission.
  • Serve as main contact for internal staff and external parties on behalf of the CAO.
  • Support planning and execution of corporate events and company-wide initiatives.
  • Vendor Management – Supplier Onboarding & Lifecycle Management: collaborate with CISO, DFS Officer, Vendor Management Team, business users, and vendors to review vendor relationships and renewals.
  • Administer and maintain the ProcessUnity Third-Party Risk Management (TPRM) platform.
  • Manage vendor onboarding workflows within ProcessUnity with required compliance and privacy docs.
  • Monitor workflow progress and follow up with stakeholders for timely approvals.
  • Review vendor risk assessments for completeness and accuracy.
  • Coordinate collection and review of SOC reports, DPAs, security questionnaires, and privacy impact assessments.
  • Maintain vendor records in ProcessUnity.
  • Support audit requests by compiling documentation and system evidence.
  • Provide training to internal users on ProcessUnity workflows and policy requirements.
  • Serve as liaison between business units and privacy/compliance teams on vendor risk.

Job description

Our cliient is looking to fill the role of Vendor Management Associate & Office Adminstrative Coordinator. The Office Administrative & Vendor Management Associate provides direct operational and administrative support with a primary focus on supplier onboarding, compliance and risk assessment and as a key administrative resource to the Chief Accounting Officer, who serves as the onsite Executive in the office. This role is responsible for ensuring the smooth day-to-day functioning of the office environment, facilitating communications, supporting administrative tasks, and being a strategic partner to the Vendor Management Team supporting the development, enhancement and enforcement of vendor management policy and frameworks that meet regulatory and security requirements.

  • Temp to Perm
  • Pay 34/hr and 70k when perm
  • Tues, Weds, Thurs in office
  • Mon/Fri – from home but need to be flexible to potentially go in those days if needed
  • Hours are 9am – 5pm
Responsibilities

Office Operations Support

  • Support day-to-day administrative operations and office management functions to ensure a productive and well-organized work environment.

  • Facilitate the onboarding of new employees, including workspace setup, access provisioning, and preparation of orientation materials.
  • Coordinate with building management, vendors, and service providers on all facility related matters.
  • Prepare and distribute correspondence, memos, reports, and presentation materials as directed by leadership.
  • Provide dedicated administrative and clerical support to the Chief Accounting Officer.
  • Process and track expense reports for the Chief Accounting Officer, ensuring accuracy and timely submission in accordance with company policy
  • Serve as the primary point of contact for internal staff and external parties on behalf of the Chief Accounting Officer, managing inquiries and communications with professionalism
  • Support the planning, coordination, and execution of corporate events and company-wide initiatives.
  • Perform additional duties and responsibilities as assigned to support team and organizational goals.
Vendor Management - Supplier Onboarding & Lifecycle Management
  • Collaborate daily with the CISO, DFS Officer, Vendor Management Team, business users, and vendors to review vendor relationships and ensure required services are renewed accurately and on time.
  • Administer and maintain the ProcessUnity Third-Party Risk Management (TPRM) platform.
  • Manage vendor onboarding workflows within ProcessUnity, ensuring all required compliance, security, and privacy documentation is submitted and reviewed.
  • Monitor workflow progress and follow up with stakeholders, including CISO, DFS, Legal, IT, and other business units, to ensure timely approvals.
  • Review vendor risk assessments for completeness and accuracy prior to internal review.
  • Coordinate the collection and review of vendor documentation, including SOC reports, DPAs, security questionnaires, and privacy impact assessments.
  • Maintain accurate and up-to-date vendor records within ProcessUnity.
  • Support audit requests by compiling documentation, reports, and system evidence from ProcessUnity.
  • Provide training and guidance to internal business users on ProcessUnity workflows and policy requirements.
  • Serve as a liaison between business units and compliance/privacy teams regarding vendor risk management matters.
Required Qualifications
  • Bachelor's degree in Business Administration, Risk Management, or a related field required.
  • Minimum 2-3 years of experience in office and vendor management, procurement, third party risk, or a related discipline.
  • Strong understanding of third-party risk management frameworks and information security principles.

  • Excellent written and verbal communication skills; ability to present complex risk topics to diverse audiences.

  • Proficient with Microsoft Office (Word, Excel, PowerPoint) and vendor risk management tools.
