Job summary

Experience Champaign Urbana is seeking an Administrative Assistant to the IT Operations Department to oversee procurement, asset management, and vendor compliance. You will collaborate with Legal, IT and GRC teams, track expenditures, prepare budget updates, and maintain asset systems including reconciliation and disposition.

This is a 4 month Contract Position with working hours 8:00 AM - 5:00 PM, requiring strong attention to detail and cross-functional coordination.

Qualifications

  • Associate degree or higher required.
  • 4–7 years of related experience.
  • HS diploma required; Associates or higher preferred.
  • Prolonged desk work and computer operations.
  • Ability to lift up to 20 pounds.

Responsibilities

Administrative Assistant to the IT Operations Department

This role focuses on managing the financial and operational activities of the organization, with a primary emphasis on procurement, asset management, and vendor compliance. The position requires a detail-oriented professional to track expenditures, prepare budget updates, and maintain asset management systems, including reconciliation and disposition. A key component of the role involves cross-functional collaboration with Legal, IT, and GRC teams to oversee vendor risk assessments, contract renewals, and cybersecurity documentation.

This is a 4 month Contract Position

Responsibilities
  • Manages and reconciles operational and capital budgets; prepares financial reports for leadership decision-making.
  • Generates reports related to financial operations, procurement activities, and asset inventories.
  • Supports project financials by tracking expenditures, managing procurement needs, and preparing budget updates.
  • Coordinates procurement activities including purchase orders, vendor invoicing, and contract renewals; ensures compliance with institutional policies.
  • Collaborates with Legal, IT, and Governance, Risk, and Compliance (GRC) teams to manage contract documentation and vendor risk assessments.
  • Assists with vendor onboarding, contract reviews, and maintaining SOC documentation to support cybersecurity risk management.
  • Recommends and implements process improvements to enhance operational efficiency and compliance practices.
  • Engages in continuous learning and professional development to enhance administrative, fiscal, and operational expertise.
  • Develops and maintains asset management systems, including tracking, reconciliation, and surplus asset disposition.

Working hours: 8:00 AM - 5:00 PM
