Job summary

Venterra Realty is seeking a Maintenance Coordinator to lead day-to-day planning, scheduling, inspection, and vendor coordination for apartment unit turns. The role reports to the Maintenance Manager and aims to keep Encasa accurate, with realistic schedules and accountable vendors.

The coordinator will manage the turn pipeline, identify risks, inspect quality, and communicate delays, escalating decisions requiring leadership support.

Qualifications

• Experience in multifamily maintenance or unit-turn coordination.
• Knowledge of apartment make-ready standards and inspections.
• Strong organizational and scheduling skills.
• Ability to inspect apartment systems and distinguish internal versus vendor work.
• Proficiency with Encasa or similar property-maintenance system.

Responsibilities

• Own the unit-turn pipeline from notice through maintenance closeout, including planning and scheduling.
• Review notices, vacancies, pre-leased, and turns in Encasa daily.
• Maintain an accurate make-ready calendar reflecting move dates, staffing, and vendor capacity.
• Identify schedule clumping and communicate unviable dates.
• Coordinate Planning Walks to identify scope and risks.
• Complete 24-hour TQMR inspections post move-out and document deficiencies.
• Inspect completed work and ensure readiness for Final Inspection.
• Build and maintain the turn work plan in Encasa with deadlines and notes.
• Coordinate daily unit-turn priorities with techs, housekeepers, vendors, and managers.
• Order and schedule all approved third-party vendor services with valid PO.
• Track vendor arrival, completion, and quality, escalating issues.
• Coordinate material orders and deliveries for turns.
• Monitor progress and adjust plans for valid risks.
• Keep Encasa as source of truth with updated data daily.
• Prioritize life/safety items before Final Inspection.
• Provide status updates on at-risk units to management.
• Review defects and quality issues for process improvements.
• Escalate risks affecting move-ins to Management.
• Support weekly maintenance huddles with accurate updates.
