Job Responsibilities
- Initiate, assemble, and maintain accurate, functional medical records for all patients in the assigned unit. View and process physician orders in the electronic medical record. Transcribe written physician orders when needed, especially during downtime procedures. Complete all necessary forms, requisitions, and communications to implement orders and record clinical data. Follow up to obtain missing information.
- Maintain inventory of paper forms needed to ensure continuous service, minimize downtime, and keep the working environment safe, clean, and functional. Update and manage storage of all unit forms.
- Greet and assist visitors courteously, screen telephone calls, and respond to call buttons through the nurse's station intercom or in person. Process mail, relay patient information, and schedule appointments as directed. Answer inquiries regarding departmental procedures and policies.
- Prepare medical records upon patient discharge. Copy records and obtain necessary discs for patient transfers/discharges to other facilities.
- Maintain patient census both manually and electronically.
- Assist with accessing or retrieving reports as requested.
- File documents following standard procedures, maintaining neat and orderly medical records.
- Attend daily Interdisciplinary Discharge Rounds and keep a log of potential discharges for the day or next day.
- Obtain the Advanced Directive List and Discharge Flag Report from the unit's printer for shift safety huddles.
- Retrieve overdue lab specimen reports for distribution to RN and CNA staff.
- Float hourly as necessary to fill in for open unit secretary areas across inpatient units.
- Print lab slips during downtime procedures.
- Order, track, and file equipment paperwork such as Wound VACs and specialty beds/mattresses.
- Orient new staff members to the role of unit secretary, covering all responsibilities outlined.
- Communicate pertinent patient care and general information to nursing staff.
- Perform all other related duties as assigned.
Qualifications and Requirements
- High School diploma and at least one year of related experience or equivalent.
- Basic computer skills and knowledge of medical terminology.
