Job description

Unit Secretary, Acute Care of the Elderly

Responsible for viewing and processing physician orders in the electronic medical record, transcribing physician orders when needed, maintaining bed management records, accessing lab results, performing receptionist and clerical duties, and coordinating non-nursing services within the unit.

Responsibilities

  1. Initiate, assemble, and maintain accurate medical records for all patients. View and process physician orders electronically. Transcribe written orders during downtime, complete forms, requisitions, and record clinical data, following up on missing information.
  2. Maintain inventory of necessary paper forms to ensure continuous service, and manage storage of unit forms.
  3. Greet and assist visitors, screen calls, answer call buttons, and direct inquiries to appropriate staff. Process mail, relay patient information, and schedule appointments as directed.
  4. Prepare medical records upon patient discharge, copy records, and manage transfer/discharge discs.
  5. Maintain patient census both manually and electronically. Assist in accessing reports and filing documents neatly.
  6. Attend daily discharge rounds, keep logs of potential discharges, and retrieve reports for safety huddles.
  7. Manage lab specimen reports, perform floating duties across units, and print lab slips during downtime.
  8. Track and file equipment paperwork, orient new staff, and communicate patient care information to nursing staff.
  9. Perform other related duties as assigned.

Job Qualifications and Requirements

High school diploma and at least one year of related experience or equivalent. Basic computer skills and knowledge of medical terminology are required.
