Overview

The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiation agreements, and is responsible for institutional strategic initiatives and operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.

Posting Summary

Rutgers, The State University of New Jersey, is seeking a Unit Coordinator for the Division of Institutional Planning & Operations (IP&O). Under general supervision, performs and is responsible for clerical and coordinating functions of a specialized unit. This may include the responsibility for operation and instruction in the use of specialized equipment such as computers, word processors, audio‑visual, etc.

Responsibilities
  • Maintain up-to-date records of the work of the unit.
  • Compile data and process records of activities such as personnel forms, orders, requisitions, sales, and registration requests.
  • Disseminate information, answer inquiries, resolve problems, or refer to appropriate administrative offices.
  • Act as liaison between the unit and other administrative offices.
  • Establish schedules for the users of the unit and/or for the facility itself.
Qualifications
  • High school/vocational school education or equivalent plus three years related clerical experience involving organizing, coordinating, scheduling and/or record‑keeping responsibilities.
  • A combination of college‑level study, advanced secretarial training, and/or related clerical experience may be substituted for the above requirements.
Required Knowledge, Skills, and Abilities
  • Ability to record and maintain data in computerized and non‑computerized formats.
  • Must be able to communicate effectively.
  • Must have effective client service skills.

Work Conditions

Full Time, 35.00 standard hours per week, Day shift (Mon‑Fri 8:30 AM – 4:30 PM).

Nonexempt.

Salary Details

Minimum Salary: $40,354.40; Mid Range Salary: $47,338.87; Maximum Salary: $54,618.90.

Immunization Requirements

Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Failure to provide proof of vaccination for any required vaccines or obtain a medical or religious exemption from the University will result in rescission of a candidate's offer of employment or disciplinary action up to and including termination.
