Position Summary

The Undergraduate Program Administrator will provide administrative support to the undergraduate program, the department's communication efforts and the Biochemistry and Molecular Biology faculty. Responsibilities include, but are not limited to, entering the teaching schedule for each semester; managing departmental records, spreadsheets and databases related to the undergraduate program; maintaining a working knowledge of UGA's campus resources, information systems, and university, college, and departmental policies and procedures; and maintaining and updating information on the department's website. Working with the department head and the associate department head, the undergraduate administrator is going to manage multiple priorities and projects and demonstrate creativity, flexibility, self-motivation, and strong problem solving, analysis and communication skills. The candidate will need to demonstrate thinking creatively, analytically, and strategically and have verified leadership skills while working independently and as part of a team. This position will provide administrative support to the undergraduate program and the Biochemistry and Molecular Biology faculty using various programs in the Microsoft Office suite.

Undergraduate Program Administration
  • Assists Associate Head with creating course schedules, revises course schedules on a regular basis and distributes schedules and teaching assignments to department.
  • Verifies that classrooms for the Biochemistry and Molecular Biology courses taught each semester have been located and secured.
  • Serves as the CAPA (Course Approval Process Automation) contact person for the Biochemistry and Molecular Biology department, in order to complete and submit course proposals online.
  • Enter the teaching schedule for the fall, spring, maymester and summer semesters using IMS , OASIS and Banner systems.
  • Manage departmental records, spreadsheets and databases related to the undergraduate program including enrollment numbers and courses taught for all Biochemistry and Molecular Biology faculty members and Faculty Mentoring folders.
  • Act as an authoritative resource for faculty in the department regarding the policies related to the University of Georgia Core Curriculum and department curriculum.
  • Manage textbook orders for Department classes.
  • Clear students to register for courses based on a specific set of pre-established criteria.
  • Process section change forms and transfer credit summaries.
  • Process and maintain files on grade change and withdrawal forms.
  • Monitor the student evaluation process at the end of each semester per the department guidelines.
  • Assist undergraduate students in solving problems with financial aid.
  • Completes computing and reporting activities for Biochemistry and Molecular Biology undergraduate educational programs.
  • Primary administrative support for SUNFIG and REU summer programs.
  • Compiling and maintaining applicant files for SUNFIG and REU summer programs.
  • Working with faculty directors to assist with onboarding students to summer programs.
  • Administrative contact/coordination with other staff for summer programs.
  • Coordinate Biochemistry and Molecular Biology undergraduate student awards such as, but not limited to:
    • Sisodia-Patel Prize
    • Faculty Academic Award
    • Blue Key
    • Who's Who
