Orthodontic Experts Management LLC is seeking a Treatment Coordinator in Munster, IN. You will support patients through their orthodontic journey, communicating treatment plans and scheduling while managing payments and financing.

Qualifications

• High school diploma or GED required.
• 3+ years of customer service experience.
• 2+ years of sales experience.
• 1+ year in treatment coordinating or similar role.
• Knowledge of medical terminology helpful.
• Proficient in Word, Excel, Outlook; Access is a plus.
• Bilingual Spanish preferred.

Responsibilities

• Consult with patients to understand health history and objectives.
• Explain treatment plans and address questions or concerns.
• Assist in scheduling and payment arrangements.
• Conduct financial consultations for new and existing patients.
• Manage payment options and policies; educate on dental benefits.
• Educate patients on financing options and external programs.
• Track accounts receivable and support collections as needed.
• Greet patients and check them in/out; support clinic operations.
• Travel to sister clinics as needed and perform associated duties.

Job Description:

As a Treatment Coordinator, you will be providing support to our patients in their orthodontic journey. You will be responsible for communicating with patients and their family members to ensure that they understand their treatment plans and any changes that may occur.

Tasks include but are not limited to:

• Consult with patients to understand their oral health history, concerns, and objectives.
• Explain the treatment plan, address patient concerns, and answer any questions.
• Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
• Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
• Manage and maintain the payment options and policies for patients.
• Understand the practice’s policy on working with Ortho benefit plans and be prepared to educate patients on their dental benefits.
• Communicate with all outside and third-party financing companies offered to patients and educate patients on the available outside financing options.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in Practice’s collections protocol for all outstanding balances.
• Introduce new patients to the practice by going over health history, explaining the doctor’s examination and describing any other features about the practice that should be highlighted.
• Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
• Updating TC Spreadsheet on a daily basis
• Conducting Dialing outbound calls to patients. (Welcome calls, Lost Cases, Denials etc.)
• Greet and check patients in and out before and after treatment.
• Participate in Marketing events
• Cash Handling
• Answer incoming calls to include new patient calls, emergencies, scheduling patient appointments, requesting records, and follow up.
• In the event you are traveling to another clinic, you are required to perform all duties and responsibilities of your role including administrative tasks.
• Responsible in helping to maintain a clean/sanitized clinic/office area.
• Other tasks as assigned.

Requirements

• High school degree or GED equivalent
• 3 years of customer service experience
• 2 years of sales experience
• 1 year of Treatment Coordinating experience
• Knowledge of medical terms and practices
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access.)
• Excellent problem solving and de-escalation skills
• Excellent written and verbal communication skills
• Bilingual - Spanish

Working Hours/ Location:

• Monday – Wednesday 8:45am – 5:00pm
• Thursday & Friday 6:45am – 3:00pm
• 2 Saturdays per month
• Two 9:45 am to 6:00 pm shifts per month
• Travel availability to our Homewood, Merrillville, Portage clinics for coverage
• Full time
