JOB OVERVIEW:
The Transportation Services Coordinator plays a critical operational support role in ensuring the efficient coordination, administration, and day-to-day functioning of Legacy Empowerment Services' transportation services. This position serves as the central point of communication for transportation-related inquiries, manages transportation scheduling and rideshare coordination, maintains accurate operational records, and supports compliance with organizational and regulatory requirements.
Working closely with the Supervisor of Transportation Services, the Transportation Services Coordinator helps ensure that members receive safe, reliable and timely transportation while supporting drivers and internal departments through effective communication, documentation and administrative coordination.
This role requires exceptional organizational skills, attention to detail, strong customer service, and the ability to manage multiple priorities in a fast-paced environment.
RESPONSIBILITIES & DUTIES:
Transportation Operations
- Serve as the primary point of contact for the Transportation Services phone line.
- Respond to transportation requests, scheduling inquiries, cancellations, and service updates in a timely and professional manner.
- Coordinate daily transportation activities to support member appointments, community participation, and program services.
- Communicate transportation schedules and updates with members, families, staff, and transportation providers.
- Assist with same-day schedule adjustments and transportation problem-solving as needed.
Rideshare & Transportation Coordination
- Coordinate and oversee rides utilizing transportation partners including:
- Lyft
- Uber
- Access Link / Access-A-Ride (as applicable)
- County transportation programs
- Other approved transportation vendors
- Monitor rideshare utilization and ensure services are used appropriately and cost-effective.
- Track ride requests, confirmations, cancellations, no-shows, and service issues.
- Assist in resolving transportation-related concerns with vendors and service providers.
- Maintain documentation supporting transportation expenditures and usage.
Data Management & Reporting
- Generate, update, and maintain transportation tracking spreadsheets and operational reports.
- Maintain accurate transportation records including:
- Driver assignments
- Mileage records
- Scheduling reports
- Monitor data accuracy and identify trends or operational concerns.
- Prepare recurring transportation reports for leadership review.
- Support data collection for KPI reporting and departmental performance metrics.
Administrative Support
- Prepare transportation-related correspondence, forms, and documentation.
- Organize electronic transportation records and ensure documentation is maintained according to agency standards.
- Assist with meeting preparation, agendas, minutes, and follow-up items.
- Attend recurring Transportation Department meetings and provide administrative support.
- Support special transportation projects and workflow improvement initiatives.
Compliance & Quality Assurance
- Assist in maintaining transportation documentation required by agency policy and applicable regulations.
- Support recordkeeping related to driver credentials, insurance documentation, and transportation compliance tracking.
- Ensure transportation documentation is complete, organized, and audit-ready.
- Escalate operational concerns or compliance issues to the Supervisor of Transportation Services.
- Collaborate with Member Services, Intake, Service Coordinators, Housing, Finance, and other departments to ensure transportation needs are met.
- Provide timely communication regarding transportation availability and scheduling changes.
- Support cross-functional initiatives that improve transportation efficiency and member experience.
Other Duties
- Provide administrative and operational support for transportation initiatives as assigned.
- Participate in departmental and organizational meetings.
- Assist with process improvement efforts that enhance transportation operations.
- Perform other duties as assigned by the Supervisor of Transportation Services.
WORKING CONDITIONS
This position primarily works in an office environment with frequent computer use and regular communication by phone, email, and virtual platforms. The role may occasionally require local travel for meetings, transportation coordination activities, or agency events.

Requirements
QUALIFICATIONS:
Education & Experience
- High school diploma or equivalent required.
- Associate's degree in Business Administration, Healthcare Administration, Transportation Management, or a related field preferred.
- Minimum of two (2) years of administrative, scheduling, logistics, transportation coordination, or customer service experience preferred.
- Experience working in human services, healthcare, nonprofit organizations, or transportation operations is highly desirable.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Exceptional verbal and written communication skills.
- Ability to prioritize multiple tasks simultaneously.
- Strong customer service and interpersonal skills.
- Ability to remain calm and organized in fast-paced environments.
- Intermediate to advanced Microsoft Excel skills.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel, Teams).
- Ability to learn transportation scheduling and rideshare management platforms.

- Ability to work independently while collaborating effectively with a multidisciplinary team.

- Successful completion of all required background screenings in accordance with agency policies and applicable funding source requirements.

Preferred Qualifications
- Experience coordinating transportation scheduling or logistics.
- Experience working with rideshare platforms (Lyft, Uber, Access Link/Access-A-Ride, or similar transportation systems).
- Experience maintaining operational spreadsheets and performance reports.
- Familiarity with services supporting individuals with intellectual and developmental disabilities (I/DD), behavioral health, aging services, or community-based programs.
- Experience using scheduling, CRM, or case management software.
