Responsibilities

  • Records medical and administrative information in accordance with established charting and documentation policies and procedures.
  • Establishes, develops, maintains and updates filing system for the unit and retrieves information when needed.
  • Answers the telephone in a professional manner; directs calls or takes messages.
  • Transcribes physicians’ orders to care plans, medication cards, treatment plans, etc., as required.
  • Charts nurses’ notes reflecting care provided and resident responses.
  • Forward new diet orders to the Dietary Director.
  • Notifies the guest's family or designated contact when there is a change in the resident's condition.
  • Assists other departments with obtaining needed documentation and signatures from Guests, guardians and family members.
  • Assists new admissions, room transfers and discharges of Guests.
  • Provides front desk coverage and relieves receptionist for breaks.
  • Prepares general correspondences, memos and charts; proofreads for spelling, grammar and layout.
  • Reports hazards, damaged equipment and supply issues to appropriate persons.
  • Maintains infection control and standard precautions at all times.
  • Maintains guest dignity and a caring environment.
  • Communicates effectively with Guests, visitors, families, peers and supervisors.
  • Responds to call lights promptly and courteously in care areas.
  • Attends departmental meetings and in-services as directed.

Summary/Objective

In keeping with our organization’s goal of improving the lives of the Guests we serve, the Unit Secretary is responsible for performing a variety of clerical duties relating to the updating and organizing of information on the nursing units; coordinating work within the unit as well as with other units and departments; reporting pertinent information to the immediate supervisor; responding to inquiries and requests from staff personnel, guests and families.

  11. Types and designs general correspondences, memos, charts, tables, graphs, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  12. Reports all hazardous conditions, damaged equipment and supply issues to appropriate persons.
  13. Assure that established infection control and standard precaution practices are maintained at all times. Follow established safety precautions when preforming tasks and using equipment and supplies.
  14. Maintains the comfort, privacy and dignity of Guests and interacts with them in a manner that displays warmth, respect and promotes a caring environment.
  15. Communicates and interacts effectively and tactfully with Guests, visitors, families, peers and supervisors.
  16. Answers and respond to call lights promptly and courteously when working in Guest care areas.
  17. Attend and participate in departmental meetings and in-services as directed.
Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a health care setting. This role requires regular walking to various locations around the facility. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This role may also come into contact with Guests who may have contagious illnesses.

Physical Demands

while performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type and Expected Hours of Work

This position is part of a health care facility that is open 24 hours a day, 365 days a year. Evening and weekend work as well as holiday and work during inclement weather will be required.
