Job summary

Echelon Care and Rehab in Voorhees, NJ is seeking a Unit Clerk to provide clerical and secretarial support to the nursing team, manage medical records, transcribe orders, and ensure smooth daily unit operations. The role requires a high school diploma with business coursework; knowledge of medical terminology and transcription is preferred.

Strong communication, accurate typing, and proficient use of office equipment are essential.

Responsibilities

  • Provide secretarial support to the nursing staff as needed.
  • Deliver new admission chart to unit and initiate forms for admission.
  • Fax physicians’ orders daily.
  • Deliver any faxed printouts to the appropriate department.
  • Complete daily transfer of vital signs and weights to resident charts.
  • Schedule physician appointments for residents and relay information to nursing staff.
  • Prepare discharge charts for medical records.
  • Perform chart audits and report deficiencies to the Unit Director.
  • Maintain medical records per policy.
  • Schedule agency personnel as directed by the DON.
  • Keep unit supplied with necessary forms.
  • Order and charge resident care supplies and unit stock.
  • Order miscellaneous unit stock.
  • Complete daily staffing sheets and copy for Unit Director.
  • Assist in staffing needs on unit and make calls to fill gaps.
  • Refer requests for information to the unit director or nurse coordinator.
  • Greet and assist visitors entering unit.
  • Answer telephones, direct calls and take messages.
  • Perform other duties as assigned.

POSITION SUMMARY:

This position provides clerical/secretarial support to the nursing department in the areas of medical records, transcription of physician orders and the general operation of the unit.

RESPONSIBILITIES/ACCOUNTABILITIES:
  1. 1 Provides secretarial support to the nursing staff as needed;
  2. 2 Delivers new admission chart to unit and initiates forms in preparation for admission;
  3. 3 Faxes physicians’ orders daily;
  4. 4 Delivers any faxed printouts to the appropriate department;
  5. 5 Completes daily transfer of the vital signs and weights from the daily assignment sheet to the resident’s chart;
  6. 6 Schedules appointments with physicians for the residents; relays the information to nursing;
  7. 7 Prepares discharge charts for medical records;
  8. 8 Performs chart audit and report any deficiencies to the Unit Director;
  9. 9 Maintains medical records per policy;
  10. 10 Schedules professional agency personnel as directed and supervised by the D.O.N.;
  11. 11 Keeps unit supplied with necessary forms;
  12. 12 Orders and charges accordingly, any necessary resident care supplies (i.e., tube feedings, isolation supplies);
  13. 13 Orders miscellaneous unit stock;
  14. 14 Completes daily staffing sheets, places in staffing book, and copies these sheets for Unit Director;
  15. 15 Assists in maintaining staffing needs on unit and making calls to fill staffing needs;
  16. 16 Refers requests for all information on residents or facility to unit director or nurse coordinator;
  17. 17 Greets and assists visitors entering unit;
  18. 18 Answers telephones, directs call and takes messages;
  19. 19 Performs other duties as assigned.
SPECIFIC EDUCATIONAL/VOCATIONAL REQUIREMENTS:
  1. 1 This position requires a high school degree with college/ business school coursework.
  2. 2 Experience with medical terminology and transcription is preferred.
  3. 3 Must be able to read, write and understand the English language.
JOB SKILLS:
  1. 1 Must have good written and verbal communication skills.
  2. 2 Must be able to type proficiently.
  3. 3 Must be able to competently operate phone system.
  4. 4 Must possess basic knowledge of operating a computer.
  5. 5 Must be able to operate standard office equipment including: copier, typewriter and facsimile machine.
  6. 6 Must possess the ability to positively interact with personnel, resident, family members, visitors, government agencies/personnel and the general public.
  7. 7 Must be able to handle a variety of assignments, some of moderate complexity and requiring considerable familiarity with the operating details of the facility.
  8. 8 Must demonstrate discretion in handling of confidential information.
  9. 9 Must provide annual verification of a negative TB skin test.
PERFORMS RELATED DUTIES:
  1. 1 Interacts with residents, families, visitors and employees.
  2. 2 He/she carries out other tasks as requested in situations where hands-on intervention/participation may be required.
