Responsibilities

  • Oversee the transcript reporting process with National Student Clearinghouse to ensure accurate, secure delivery of transcript services.
  • Conduct official transcript evaluations for new and returning students, including prior learning assessments for transfer credits.
  • Maintain quality transcript evaluations and meet daily deadlines for timely service.
  • Assess credits for new and returning students, verifying course details from other institutions.
  • Coordinate with Enrollment to obtain official transcripts for review.
  • Participate in development and improvement of the Transfer Credit Evaluation process.
  • Enter and update transfer credits in the student information system and resolve pending courses as final transcripts arrive.
  • Maintain articulations and course equivalencies; assist with policy documentation.
  • Track reports related to awarding transfer credits and manage name-change requests.

ESSENTIAL FUNCTIONS, PRIMARY RESPONSIBILITIES AND OBJECTIVES:

The Transfer Credit Evaluator, CPL (Credit for Prior Learning) reports into the Associate Registrar and is responsible for accomplishing the goals and mission of the College by ensuring all aspects of the transfer credit evaluation process are completed accurately and in a timely manner for online and graduate students.

This position is visible to the College community and routinely interacts with all constituent groups of the College as well as external stakeholders including other College Registrars and Transfer Credit Evaluators.

Some aspects of this position may be able to be done remotely, but the position requires regular in-person attendance and the ability to occasionally travel to other locations.

ESSENTIAL FUNCTIONS:
  • Works closely with National Student Clearinghouse (NSC) to oversee the transcript reporting process, and to ensure the accurate and secure automated delivery of student transcript services.
  • Resolves customer service issues with transcript requests and provides guidance to students and parents to ensure accurate and efficient delivery of requests. Escalates technological issues to the Associate Registrar as needed.
  • Conducts official transcript evaluations for new and returning students. This process includes evaluating student transcripts from previous institutions as well as prior learning experiences for transfer credit based on current policies and procedures.
  • Maintains quality transcript evaluations while achieving daily goals that provide timely service to students.
  • Assesses credits for new and returning students. Reviews courses and credit hours completed; verifies level, content, unit value, and grading system of courses from catalogs of other institutions.
  • Coordinates with Enrollment to obtain students’ official transcripts for review.
  • Co-ownership of development and improvement of the Transfer Credit Evaluation process.
  • Understands course equivalencies and provides course descriptions and college catalogs by web research and contacting other colleges and universities for the purpose of making an accurate course match.
  • Determines the transferability of courses that have not been articulated by consulting with the Faculty Chairs and/or Dean of Curriculum & Academic Affairs.
  • Communicates transfer equivalency reviews with the applicants, students, Academic Advisors, academic departments, and Enrollment.
  • Enters transfer credits awarded and pending credits in the student information system. Resolves and updates pending courses in the student information system as final transcripts are received.
  • Maintains and updates articulations and course equivalencies.
  • Assists with development and maintenance of related policies and procedural documentation.
  • Tracks and prepares reports related to the awarding of transfer credits.
  • Processes change of name requests and ensure the Student Information System is updated.
  • All other duties as assigned.

  • Support the College's Mission, particularly in administering the responsibilities of the Department.
  • Proficient computer/technical skills.
  • Ability to work flexible hours based on the needs of the College. Evenings and weekends may be required in support of events and activities.
EDUCATION:
  • Bachelor's degree required, or equivalent combination of education, training, and experience.
EXPERIENCE:
  • Minimum of two (2) years’ experience in a related field.
  • Experience with CRM required (Salesforce a plus) along with knowledge of Jenzabar or comparable platforms and the ability to learn and use technologically current applications.
  • Experience with transfer credit evaluation software preferred.
PHYSICAL REQUIREMENTS:
  • Position will require the ability to frequently reach, stand, walk, bend, twist, grasp, sit, talk, hear, see, climb and perform repetitive motions.
  • Position will require the ability to lift and carry items up to 20 pounds, and push/pull items weighing up to 50 pounds.
