The Training Coordinator plays a critical role in ensuring organizational compliance with Pennsylvania’s Office of Developmental Programs (ODP) training requirements and regulatory standards.
This full-time position is ideal for a detail-oriented professional who understands the complexities of ODP regulations and how training is essential to maintaining licensure and program quality. The Training Coordinator will manage scheduling, documentation, and delivery of required training to ensure adherence to 55 Pa. Code Chapters 6400, 6500, and medication administration requirements
Key Responsibilities
Training Coordination & Logistics (Approx. 30%)
- Ensure that all training for DSPs, supervisors, and other staff is compliant with ODP standards and state licensing regulations, particularly 55 Pa. Code Chapters 6400 and 6500.
- Coordinate all trainings required by ODP, including but not limited to individual rights, fire safety, recognizing and reporting abuse, incident management, medication administration, and annual refreshers.
- Maintain Learning Management System (LMS) for accurate recording of training completion, certifications, and expiration dates.
- Monitor ongoing regulatory updates from ODP and ensure timely adjustments to the training calendar or content.
- Ensure that all required trainings are completed prior to an employee working independently, and track compliance for continued eligibility.
Training Delivery & Facilitation (Approx. 30%)
- Conduct new hire orientation, annual refreshers, and other regulatory trainings required by ODP.
- Adapt delivery styles for diverse audiences and learning needs, ensuring staff are engaged and prepared.
- Maintain accurate sign-in sheets, evaluations, and attendance records for all trainings conducted.
Support for Trainers & Instructors (Approx. 20%)
- Schedule and coordinate internal and external training sessions across multiple departments and roles.
- Liaise with certified trainers and training vendors to ensure content, materials, and delivery meet ODP-approved curriculum standards.
- Prepare rosters, organize materials, and provide logistical support for in-person and virtual trainings.
- Support onboarding and orientation for new hires in collaboration with the HR Manager and 2nd Training Coordinator.
Documentation & Regulatory Readiness (Approx. 15%)
- Ensure training records are consistently audit-ready for ODP monitoring visits, licensing reviews, or internal compliance audits.
- Compile reports and dashboards that reflect organization-wide training compliance and certification status.
- Assist in responding to requests from regulatory bodies, including providing documentation, clarifications, or summaries of training completion and compliance status.
Other (Approx. 5%)
- Contribute to process improvements and system upgrades related to staff development.
- Assist in onboarding processes and other HR or organizational learning initiatives as assigned.
Qualifications
- Associate’s or bachelor’s degree in education, Human Resources, or a related field (or equivalent experience).
- 3-5 years of experience in training coordination or regulatory compliance in the human services or IDD field.
- Working knowledge of ODP regulations, especially 55 Pa. Code Chapters 6100, 6400, 6500, In Home and Community Supports (IHCS), and medication administration training standards.
- Maintain and obtain certifications necessary to deliver required trainings, including CPR/First Aid, Medication Administration, Mandt, Fire Safety, and others as applicable.
- Proficiency in Microsoft Office and experience with Learning Management Systems (LMS) and compliance tracking tools.
- Exceptional organizational skills and the ability to manage high volumes of time-sensitive documentation.
- Clear, professional communication skills with an ability to collaborate across departments and roles.
- Excellent communication and interpersonal skills.
Work Environment & Schedule
- Full-time position, primarily in-office at our Horsham location.
- Standard business hours with occasional flexibility for early or late training sessions.
- Occasional travel to off-site locations or program homes may be required.
