Job description

Caravan teaches companies how to put AI to work, and every one of those training days runs on systems working quietly behind the scenes: rosters synced, emails armed, pre-training calls completed, surveys collected, briefs delivered on time. The Training Coordinator owns those systems. You'll be the person who makes sure nothing slips between a client signing and their team walking into a great training day.

What you'll do
  • Run a 15-minute pre-training call with every trainee, public and private sessions alike, to get them fully set up and ready for training day.
  • Guide once a week at our public trainings: be in the room helping trainees hands-on while the trainer leads.
  • Own the pre-training rhythm end to end: surveys sent and chased, email sequences armed and on time, and NPS scores collected and reported after every training.
  • Handle training-day provisioning: breakfast, coffee, and lunch orders matched to headcount and dietary needs.
  • Keep the training operating systems current: the trainings database, rosters, and attendee records, accurate every day.
  • Keep clients confirmed: reminders, roster chasing, and scheduling follow-ups so no training day arrives with surprises.

  • An AI-native worker: You already use AI tools daily in your own work, not because someone told you to.
  • Reliably communicative: Your written updates are clear, timely, and don't need decoding.
  • Calm under a moving calendar: Trainings shift, rosters change late, and you adjust without drama.
Qualifications

There’s no single “right” background: program coordinators, executive assistants, operations managers, and event producers have all done this work well. You might have:

  • A demonstrated track record coordinating events, programs, or operations end to end.
  • Comfort on the phone: warm, curious, and at ease making many calls a week to people you haven't met.
  • Hands-on daily use of AI tools (Claude, ChatGPT, or similar) in real work.
  • The confidence to figure things out: when something's broken or undocumented, you dig in rather than wait to be told.
  • The ability to help trainees with basic AI installations and setup (installing apps, signing into accounts, basic troubleshooting).
  • A base in Birmingham, or the ability to be here weekly, and authorization to work in the US.
