Qualifications

• 2+ years in training administration, operations coordination, or similar customer-facing admin role.
• Experience processing orders, quotes, POs and invoices.
• Experience coordinating registrations, payments, scheduling, or logistics.
• Experience supporting customer onboarding and account setup processes is preferred.
• Experience collecting and maintaining customer documentation including compliance documentation is preferred.
• Experience working with credit checks, customer credit terms, or finance onboarding activities is beneficial.

Responsibilities

• Training calendar creation and scheduling with trainers and VP, with marketing updates to the website.
• Manage class enrollment, including cancellations and alternatives for underenrolled sessions.
• Process inbound training registrations with valid payments or coupons; confirm enrollment per requirements.
• Handle payments, quotes, POs, and invoice processes; validate coupons.
• Validate prerequisites for classes before enrollment confirmation.
• Create training quotes to support sales opportunities and respond to inquiries.
• Coordinate pass-through training with third-party providers, generate quotes, and process payments.
• Maintain training materials inventory and update NetSuite with student URL access.
• Coordinate customer onboarding and account setup to establish approved vendor status.
• Collect and verify Certificates of Insurance and onboarding documentation for compliance.
• Initiate and monitor customer credit checks and establish terms with Finance.
• Act as liaison among Sales, Finance, and Operations to resolve onboarding issues.
• Assist Accounts Receivable in improving cash collection by addressing setup and compliance issues.
