Job description

Training Attendance Records Assistant

Office Administration: Training Attendance
Remote position | Full-time or part-time | 23.25–24.75 per hour

Who attended, and what is still unverified

A trainer finishes an online session and sends an attendance list. The Training Attendance Records Assistant compares that list with the assigned roster, enters confirmed attendance, and flags discrepancies for the training owner. This remote office administration job maintains records; it does not evaluate learning, certify competency, or decide whether an employee has fulfilled a mandatory requirement.

A participant's display name in a virtual meeting may differ from the name on the roster. Follow the employer's matching rules before crediting the session. If someone joined late or left early, record only the evidence supplied and refer any judgment about completion. If the trainer sends a corrected list, preserve the new source and update permitted fields according to the correction process. A clean trail matters when the team later answers a question about a person's training history.

The work also involves customer service with internal colleagues. Someone may ask why their attendance is not showing. Check the status, acknowledge the question, and ask the training owner to review uncertain cases rather than promising credit. Treat names, session dates, and course versions carefully; a completion for the wrong session can create false confidence.

Tasks in the role

Receive approved online attendance lists and rosters. Match participants to the correct session and employee record. Enter confirmed attendance in the assigned system.

Flag missing, duplicate, or ambiguous names. Note a corrected list and the source of any permitted change. Prepare a brief exception list for the training owner.

Respond to routine status questions within the available record. Protect staff information under the employer's access rules.

Customer service, office administration, records, or school coordination experience can be helpful. None is required; the company will teach its tracking system, session labels, and escalation rules. You should be comfortable with online spreadsheets and careful comparison, especially where names are similar.

Part-time or full-time schedules may be available. A home office or another private setting helps when handling employee information. The hiring company will specify its actual session volume and hours.

A trainer may send an attendance correction after you have completed a batch. Preserve both the original and corrected source under the employer's process. A concise note should show why an entry changed and who authorized it. That is more useful than silently replacing a status.

A roster may identify an employee by a preferred name while the attendance sheet uses a legal name or an employee number. Follow the matching rule and send uncertain entries for review rather than crediting the wrong person. A late correction from the trainer should remain traceable to the corrected source. Record the session date and version carefully: attendance at a refresher is different from attendance at an initial session. These small distinctions matter when a colleague later asks why a training status has or has not changed.

If someone disputes a missing entry, acknowledge the question and ask for the specific session details the team uses to investigate. Do not promise a completion status before the authorized trainer checks it. An accurate exception list helps the training owner resolve several cases at once. The employer will teach the online tracker and how to protect staff records. Formal HR experience is unnecessary; reliable comparison and patient written follow-up matter more. Remote work requires a home office or comparable private setting for employee information.
