Job summary

Truck Country® / Stoops Freightliner-Western Star in Indianapolis seeks a Parts Administrative Associate to support the Parts Department with inventory control, invoicing, and order processing. You will work with internal teams and suppliers to keep records accurate and payments timely.

Job description

The Parts Administrative Associate plays a vital role within the Parts Department by managing and coordinating a wide range of administrative functions. This position is responsible for supporting inventory control, handling accounting processes, and ensuring accurate and timely order processing.

Key responsibilities include overseeing invoice reconciliation and payment, processing vendor credits efficiently, and maintaining organized and up-to-date departmental records. This role also ensures that all paperwork and documentation flow smoothly, contributing to overall operational efficiency.

By maintaining strong attention to detail and effective communication with internal teams and suppliers, the Parts Administrative Associate helps support accurate financial tracking and seamless day-to-day department operations.

Duties and Responsibilities:

• Manage and control inventory to maintain optimal stock levels and accuracy.
• Perform data entry tasks with a high degree of accuracy and attention to detail.
• Process invoices and vendor credits in a timely and organized manner.
• Maintain and reconcile parts payable/receivable accounts and core return schedules.
• Coordinate and manage daily emergency and critical orders across multiple suppliers, including Freightliner, Detroit Diesel, Western Star, Sprinter, Caterpillar, and Cummins.
• Provide backup support to warehouse operations as needed to ensure continuity of service.
• Collaborate with supervisors and team members to identify and resolve posting discrepancies or parts scheduling issues.
• Carry out additional duties and responsibilities as assigned to support overall department operations
