Responsibilities

• Coordinate shipping documentation and ensure project materials are delivered on schedule.
• Develop shipping manifests and project documentation with logistics for portable shipments.
• Create show summaries and setup packages for onsite managers.
• Complete required show forms and coordinate services/subcontractors; support contract execution.
• Log time into EMS; create and process Purchase Orders; handle expense reporting.
• Close projects in EMS and assist with post-show financial documentation.

The Account Coordinator supports the Account Management team by assisting with project coordination, quoting, documentation, and communication to ensure client needs are met accurately, efficiently, and on schedule. This role serves as a central point of connection between internal departments and production teams.

• Assist Account Managers with proposal content and cost justification.
• On a limited basis: estimating duties based on simplicity of services needed.
• Coordinate shipping documentation and ensure all project related materials are properly prepared and delivered.
• Develop shipping manifests and project documentation with the logistics department for portables and smaller shipments.
• Create show summaries.
• Prepare setup packages for onsite managers with support from engineering.
• Complete required show forms, coordinate show services/subcontractors, and support contract execution.
• Order show services by appropriate deadlines.
• Logging time into EMS in a timely manner
• Creating and processing Purchase Orders
• Expense reporting
• Reconcile and assist with post-show financial documentation.
• Request deposit and final invoicing at the direction of the Account Manager.
• Close projects in EMS
• Be swift in resolving issues
• Assist in the training and development of new team members when necessary
• Any other special need as directed by the Account Manager or Director of Client Services.
