Job summary

Exhibitus, a leading exhibit design and experiential marketing company, is seeking a Trade Show Account Coordinator in Surprise, AZ. The role supports the Account Management team by coordinating projects, quotes, documentation, and communications to ensure client needs are met accurately and on schedule.

You will act as a central link between internal departments and production teams, handling proposal content, shipping docs, show summaries, setup packages, and post-show financials.

Responsibilities

• Assist Account Managers with proposal content and cost justification.
• Coordinate shipping documentation and ensure all project related materials are properly prepared and delivered.
• Develop shipping manifests and project documentation with the logistics department for portables and smaller shipments.
• Create show summaries.
• Prepare setup packages for onsite managers with support from engineering.
• Complete required show forms, coordinate show services/subcontractors, and support contract execution.
• Order show services by appropriate deadlines.
• Logging time into EMS in a timely manner
• Creating and processing Purchase Orders
• Expense reporting
• Reconcile and assist with post-show financial documentation.
• Request deposit and final invoicing at the direction of the Account Manager.
• Close projects in EMS
• Be swift in resolving issues
• Assist in the training and development of new team members when necessary
• Any other special need as directed by the Account Manager or Director of Client Services.

• On a limited basis: estimating duties based on simplicity of services needed.


• Coordinate shipping documentation and ensure all project related materials are properly prepared and delivered.


• Develop shipping manifests and project documentation with the logistics department for portables and smaller shipments.


• Create show summaries.

• Complete required show forms, coordinate show services/subcontractors, and support contract execution.
