About the role
The Total Rewards Coordinator plays a critical role in ensuring seamless delivery of HR programs, processes and activities that enhance both the effectiveness of the HR function and the overall employee experience. This role serves as the central point of coordination for Total Rewards initiatives, facilitating smooth execution through program and project management, process optimization and strategic use of AI and automation.
By coordinating employee recognition, engagement and wellbeing programs, maintaining up-to-date Total Rewards communications, and organizing key meetings and events the coordinator plays an important role in driving a positive and impactful employee experience. Additionally, this role supports essential HR operations, including purchasing, invoicing, reporting, document control, retention and departmental audits, while also responding to select employee inquiries.
Success in this role requires strong organizational skills, keep attention to detail, and the ability to communicate effectively across all levels of the organization.
What you’ll do
Pr ogram Coordination – Creating a Positive & Impactful Employee Experience
- Execute employee recognition, engagement, and wellbeing pr ograms with attention to detail and alignment with company culture.
- Track program metrics and maintain accurate records to inform decision-making and program improvements.
- Coordinate philanthropic and volunteer programs to promote community involvement and employee connection to purpose.
Operational Support – Strengthening Efficiency and Accuracy
- Manage HR purchasing, invoicing, and reporting activities, ensuring timely and accurate execution to support operational continuity.
- Organize key HR meetings and events (e.g., Open Enrollment, wellness fairs) with precise logistics, scheduling, and stakeholder coordination.
- Support SOC II, URAC, and 401(k) audit readiness through proactive data gathering, documentation management, and internal audits.
Compliance & Data Integrity – Ensuring Organizational Readiness
- Reduced risk through strong documentation and accurate data management.
- Maintain document control and retention policies in alignment with compliance requirements and internal standards.
- Conduct regular audits of HRIS data for accuracy, ensuring employee records are complete and up to date.
- Track and manage clinical licensure requirements across states, preventing lapses and supporting regulatory compliance through proactive renewals and verifications.
Offboarding & Lifecycle Support – Enhancing Employee Transitions
- Manage the employee exit process, ensuring all system approvals, communications, and follow-ups are completed accurately and on time.
- Address offboarding-related inquiries to ensure clarity and a respectful employee departure experience.
- Project Management – Driving HR Initiative Success
- Support Total Rewards projects by coordinating timelines, deliverables, and stakeholder communication.
- Maintain performance indicators and documentation to track project outcomes and support continuous improvement.
Communications & Inquiry Support – Increasing Awareness & Accessibility
- Keep Total Rewards materials (e.g., benefit guides, intranet content) accurate, up to date, and easily accessible.
- Respond to tier-one HR inquiries via the case management system and shared inbox, resolving common requests quickly (e.g., employment verifications, pay info, name changes, password resets).
- Serve as a trusted point of contact for employees seeking information about Total Rewards offerings.

What you’ll bring
- Education : Bachelor's degree or equivalent work experience
- 2+ years of relevant experience
- Strong attention to detail
- Ability to create succinct, high-quality written communications
- Ability to consistently meet daily, weekly and monthly deadlines.
- Possess an enthusiastic, energetic, self-motivated, and detail-oriented approach towards work and all work projects.
- Strong administrative/technical skills; Comfort working on a PC using Microsoft Office (Outlook, Word, Excel, PowerPoint), IM/video conferencing (Teams & Zoom), and telephones efficiently.
