Job summary

Clarity Clinic in the Chicagoland area is seeking a TMS Patient Care Coordinator to facilitate treatment sessions for individuals with MDD, OCD, and other mental illnesses. This is a full-time, onsite position at our Arlington Heights location with a 12pm-8:30pm schedule.

You will deliver TMS therapy, educate patients, maintain HIPAA-compliant records, coordinate appointments, and collaborate with the clinical team to ensure high-quality care.

Qualifications

• Bachelor's degree from an accredited university in the field of psychology, neurobiology, social work, Pre‑med, or related major
• Excellent oral communication skills
• Excellent organizational skills
• Proficiency in Microsoft Office applications
• Billing software knowledge
• Insurance knowledge
• Clinical Interviewing

Responsibilities

• Providing educational consultations to interested patients.
• Delivering TMS Therapy to our patients.
• Providing a safe and therapeutic environment for daily treatment sessions.
• Office administrative tasks such as managing leads, reporting statistical activity to center manager, scheduling appointments, collecting copays, and handling all medical records in compliance with HIPAA.
• Serve as a member of the Clinical Team and participate in all team meetings and activities.
• Assist clerical support staff in providing needed documentation for insurance preauthorization and/or reimbursement.
• Deliver exceptional customer service consistently to every customer.
• Assume other related responsibilities as assigned by management.
• Adaptability - Demonstrate the ability to work in a fast-paced environment, responding to changes in patient needs, equipment modifications, and emerging industry standards or guidelines.
• Collaboration - Collaborate with interdisciplinary teams, including physicians, neurologists, psychologists, and other healthcare professionals, to ensure coordinated and comprehensive care for TMS patients.
• Communication Skills - Effectively communicate with patients, families, and healthcare professionals regarding TMS procedures, benefits, potential side effects, and ongoing treatment plans.
• Continuing Education - Stay up-to-date on the latest advancements, research, and best practices in the field of TMS through ongoing professional development and participation in relevant training programs or conferences.
• Documentation and Record-Keeping - Maintain accurate and thorough records of patient information, treatment plans, and outcomes, following established protocols to ensure confidentiality and facilitate continuity of care.
• Patient Care - Demonstrate empathy, compassion, and a patient-centered approach in providing care to individuals undergoing TMS treatment, ensuring their comfort and addressing any concerns or questions.
• Problem-solving - Proactively identify and troubleshoot challenges or complications that may arise during TMS sessions, utilizing critical thinking skills to determine appropriate courses of action.
• Safety Compliance - Adhere to strict safety protocols to ensure the well-being of patients during TMS sessions, including proper placement of electromagnets and monitoring equipment throughout the procedure.
• Technical Expertise - Possess a strong understanding of the principles and operation of TMS equipment, as well as the ability to set up and calibrate the machinery properly.
• Troubleshooting and Maintenance - Assess equipment functionality, identify potential technical issues, and perform routine maintenance tasks to maintain the optimal performance of TMS equipment.
• Complete TMS training will be provided!
