We are seeking a highly organized and proactive Tenant & Development Coordinator to support our Development Department and help guide retail tenants from lease execution through construction, turnover, and opening.
This position serves as a central point of coordination among tenants, Leasing, Construction, Property Management, Asset Management, Accounting, and utility providers. The ideal candidate is comfortable managing multiple deadlines, tracking detailed information, communicating with a variety of stakeholders, and following projects through completion.
Experience in commercial property management, retail construction, tenant coordination, lease administration, or project coordination is strongly preferred. Candidates do not need to have experience in every area listed; training will be provided for company-specific reports, systems, and processes.
Key Responsibilities
- Coordinate the tenant process from lease execution through entitlements, construction, landlord turnover, move-in, and opening.
- Serve as a primary point of contact for tenants during the construction and turnover process.
- Track lease obligations, critical dates, project milestones, and required tenant and landlord deliverables.
- Review leases and letters of intent to identify construction responsibilities, turnover requirements, deadlines, and other key provisions.
- Partner with Construction Managers to communicate project schedules and anticipated turnover dates.
- Prepare and issue tenant turnover notices and coordinate communication with Leasing, Property Management, Asset Management, and other internal teams.
- Maintain tenant move-in checklists and follow up on outstanding items.
- Coordinate utility setup and transfer of service with tenants and utility providers.
- Prepare project reports, meeting materials, presentations, and property or vacant-space assessments.
- Maintain development and construction tracking reports and communicate delays, risks, and unresolved issues.
- Assist with project budgets, pro forma tracking, job cost reports, and cost reconciliation in partnership with Accounting and Construction.
- Provide administrative and project coordination support across the Development Department as needed.
Education and Experience
- Three or more years of experience in one or more of the following areas: Commercial property management, Retail construction, Tenant coordination, Project coordination, Lease administration, Real estate development
- Experience coordinating tenants, contractors, vendors, property managers, or internal project teams.
- Ability to read and interpret lease provisions, project schedules, contracts, or similar business documents.
- Experience tracking budgets, invoices, project costs, or financial reports.
- Strong proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
- Experience with Yardi, Microsoft Project, construction management software, or property management systems is helpful but not required.
- Strong written and verbal communication skills.
- Highly organized, detail-oriented, and comfortable managing multiple projects and deadlines.
- Ability to identify issues early, follow up consistently, and keep stakeholders informed.
- Bachelor’s degree preferred, or an equivalent combination of education and relevant experience.
- Ability to present information to a group
