Job summary

H2sOlutions, based in Lakeland, Florida, seeks a detail-oriented sales support specialist to back our sales team from inquiry to delivery. You will manage quotes, purchasing, and customer orders, coordinating with customers, vendors, and internal teams to keep information accurate and follow-up consistent.

Qualifications

• Experience in inside sales, purchasing, customer service, order management or technical sales support.
• Strong attention to detail when working with specifications, part numbers, quantities, pricing and delivery requirements.
• Excellent organizational skills and the ability to manage several quotes and orders at different stages.
• Initiative to identify missing information, resolve routine issues and move work forward independently.
• Reliable follow-through and sound judgment about when to ask questions or escalte an issue.
• Clear, professional written and verbal communication with customers, vendors and coworkers.
• Comfort using CRM systems, Excel and other business software.
• Willingness to learn technical products and how customers use them.

Responsibilities

• Prepare accurate quotes by gathering customer requirements, obtaining vendor pricing and lead times, verifying specifications and quantities, and applying approved pricing and terms.
• Coordinate purchasing, including purchase orders, vendor acknowledgments, delivery tracking and resolution of pricing or order discrepancies.
• Check customer purchase orders against quotes and coordinate materials, documentation and handoffs with service and project teams.
• Maintain accurate customer records, opportunities, quote versions, activities and next steps in the CRM.
• Follow up on open quotes, customer decisions, vendor responses and outstanding commitments through completion.
• Keep customers, vendors and sales representatives informed of status, delays and required actions.
• Review product information and customer requirements, identify missing details and coordinate technical questions with the appropriate salesperson or technical resource.
• Provide complete order, shipping and receiving documentation to accounting to support accurate billing.
