What you will do
In this role, you'll be crucial in onboarding and transitioning new brokerages and teams, ensuring smooth integration into our system. Your responsibilities include communication, planning, coordination, and support activities vital for our growth and operational efficiency.
- Lead Discovery Calls with Team Leaders to discuss team structures, joining processes, and requirements, including determining the need for a CEA or other exceptions.
- Develop detailed timelines and transition plans, overseeing brokerages from pre-onboarding to active status, including post-onboarding support.
- Perform follow-up check-ins with leads via calls or emails to establish contact preferences.
- Coordinate planning and logistics meetings beyond Discovery Calls with brokers and other departments.
- Act as a liaison between sponsors and broker owners, managing onboarding expectations.
- Initiate contact with Team Leaders for organic leads to arrange Discovery Calls.
- Collect and process external documents such as proof of production and team rosters, and evaluate production reports for qualification and approval.
- Notify Brokerage Operations and Transactions Operations about incoming teams or brokerages.
- Follow up on pending documents from team leaders or admins, with support staff handling uploads.
- Track metrics and reports using tools like Google Forms, spreadsheets, and HubSpot.
- Complete details in HubSpot tickets, dispatch welcome emails, and make introductory calls or texts to agents.
- Develop strategies for retaining team agents within the assigned region.
- Perform tasks efficiently within designated time frames, maintaining regular communication with team members and supervisors.
- Attend virtual meetings, provide progress updates, and participate actively in discussions.
- Adhere to company policies on data security and confidentiality.
- Complete assigned projects with attention to detail and quality.
- Manage and prioritize workload to meet deadlines and deliver results.
- Update job knowledge through training and self-directed learning.
- Collaborate with colleagues using remote tools and take ownership of work to address challenges.
- Ensure availability and responsiveness during working hours.
