Overview
Job Description The Assistant Manager plays a pivotal role in driving success across the division by supporting the Division Leadership and collaborating with the Manager of Site Inspections. This person is responsible for the geographical territories as assigned and for ensuring the effective implementation of strategies that enhance community impact and engagement while complying with property codes and governing documents. The Assistant Manager makes recommendations for site portfolios, works with the Manager of Site Inspections and local division leaders to address challenges and optimize service delivery, and supports day-to-day operations while fostering a positive organizational culture and promoting long-term success through strategic planning and development initiatives.
The role is ideal for someone who is proactive, detail-oriented, and committed to driving excellence in site management.
Key Responsibilities
- Facilitate communication between the Site Management Team, the Manager, and local division leaders to ensure alignment with organizational goals and to address client inquiries and concerns professionally.
- Mentor and train team members, conduct performance evaluations, and foster a collaborative environment that encourages growth and innovation.
- Coordinate with local division leadership to ensure site management efforts integrate with broader organizational objectives, contributing to division success and sustainability.
- Oversee daily operations with the Manager of Site Inspections to ensure efficiency and consistency across divisions.
- Manage department operations in alignment with the company’s strategic vision and standards, ensuring continuity and excellent service delivery.
- Possess expert-level knowledge of property codes for all markets and the ability to read, understand, and interpret governing documents.
- Understand processes and backend systems (e.g., CINC Manager, CINC Systems, Spectrum and JellyBird apps, CINC WebAxis) and facilitate cross-divisional support.
- Conduct audits and review property bullet point forms quarterly to ensure understanding.
- Coordinate Fleet Management systems (Fleet Car Management, logs, maintenance, receipts, GPS, parking agreements, check-in/check-out) and approve small repairs when needed.
- Develop and maintain relationships with Board Members, address complaints promptly, and collaborate with Client Relations Manager to monitor feedback and drive service improvements.
- Provide strategic support to division leaders and Community Managers and assist in portfolio assignments and resource allocation.
Requirements
For this position, you must have a valid driver’s license, auto insurance, and a safe driving record. You do not need prior industry experience, but initiative and the ability to work independently are valued.
Knowledge
- Must be computer literate and familiar with Microsoft Word and Excel.
- Understand how to enter data into databases and on iPads.
