Overview

The Assistant Manager plays a pivotal role in driving success across the division by supporting the Division Leadership and collaborating closely with the Manager of Site Inspections. This person will be responsible for the geographical territories as assigned. This position ensures the effective implementation of strategies that enhance community impact and engagement, while maintaining compliance with property codes and governing documents. The Assistant Manager will make recommendations for site portfolios, working with the Manager of Site Inspections and local division leaders to address challenges and optimize service delivery. In addition to managing day-to-day operations, this role fosters a positive organizational culture and promotes long-term success through strategic planning and development initiatives.

Responsibilities
  • Facilitate communication between the Site Management Team, the Manager, and local division leaders to ensure alignment with organizational goals and address client inquiries professionally.
  • Mentor and train team members, conduct performance evaluations, and foster a collaborative environment that encourages growth and innovation.
  • Coordinate with local division leadership to ensure site management efforts are integrated with broader organizational objectives.
  • Support strategic planning and development initiatives to drive division success.
  • Work closely with the Manager of Site Inspections and Division Leaders to optimize portfolio assignments and resource allocation.
  • Create FAQs with ongoing training and support for Community Managers.
Responsibilities (Continued)
  • Oversee daily operations with the Manager of Site Inspections to ensure efficiency and consistency across all divisions.
  • Manage department operations in alignment with the company’s strategic vision and standards.
  • Possess expert-level knowledge of property codes for all markets and the ability to read and interpret governing documents.
  • Maintain understanding of processes and backend systems, including CINC Manager, CINC Systems, the Spectrum and JellyBird apps, and CINC WebAxis.
  • Support cross-divisional collaboration and conduct audits and reviews of property bullet point forms at least quarterly.
  • Own all aspects and systems for Fleet Management (Fleet Car Management, DW Fleet Car Log, Maintenance Log, Receipt Submissions, Fleet Car GPS, Remote Parking Agreement, Check-In/Check-Out).
  • Approve small repairs when needed.
Qualifications and Knowledge
  • Valid driver’s license, auto insurance, and a safe driving record.
  • Computer literate with Microsoft Word and Excel; able to enter data into databases and iPads.
  • Must understand Violation Policies, Quality Control (QC), and proper setup of letter templates for policies.
  • Experience with Legal Packet Submissions and collaboration with other Assistant Managers of Site Inspections.
Team Leadership and Development
  • Train and lead a high-performing team, ensuring alignment with departmental goals and fostering a positive work environment.
  • Build a positive and accountable workplace culture; coach, develop, and mentor Site Managers.
  • Identify talent and make recommendations for career advancement within Sr., Mentor, and SM Compliance roles.
  • Evaluate performance and provide feedback; monitor team performance with monthly 1:1s and Playbooks every 6 months.
  • Audit and review homeowner correspondence for consistency; address account errors with coaching and training.
Customer Service and Satisfaction
  • Develop and maintain strong relationships with Board Members across divisions and act as a trusted advisor.
  • Address Board Member complaints promptly and ensure satisfactory resolutions.
  • Resolve escalated homeowner challenges and implement improvement strategies with the Client Relations Manager.
  • Analyze customer feedback to identify areas for improvement and recommend service quality enhancements.
Division Level Support
  • Develop relationships with Division Leadership, Community Manager teams, and Site Management teams to align with goals.
  • Audit Team Schedules to meet contractual obligations; facilitate cross-department coordination.
  • Gather feedback from leadership and community teams to drive improvements and implement solutions.
  • Support division leaders and Community Managers in planning and execution of strategies for organizational success.
  • Coordinate portfolio assignments with the Manager of Site Inspections; develop FAQs and training for Community Managers.
Requirements

For this position, you must have a valid driver’s license, auto insurance, and a safe driving record. We do not require prior industry experience, but value initiative and the ability to work independently.
