DE-YAN is seeking a Talent & Resource Coordinator to support staffing and resource organization within the Talent Operations team. This hands-on role focuses on keeping creative staffing, scheduling, and resource information organized and up to date across the studio.

You will work closely with the Sr. Resource Manager, Creative Directors, and Producers to support day-to-day staffing needs, maintain accurate schedules, coordinate freelance talent, and provide clear visibility into availability

Qualifications

  • 2–4 years of experience in resource management, creative operations, or a similar coordination role.
  • Strong organizational skills and attention to detail.
  • Proficient with schedules, trackers, and operational systems.
  • Clear, professional communicator who collaborates across teams.
  • Familiarity with Float is a plus; GSuite proficiency is valued.

Responsibilities

  • Support the Sr. Resource Managers with day-to-day staffing and scheduling.
  • Maintain accurate team schedules and allocations in Float.
  • Track team availability, upcoming roll-offs, and capacity across projects.
  • Coordinate staffing updates with Creative Directors, Producers, and project teams.
  • Identify scheduling conflicts or gaps and flag them to the Sr. Resource Manager.
  • Prepare staffing updates for weekly resource planning meetings.
  • Assist with time-off tracking and routing requests.
  • Maintain and update the creative team skills matrix.
  • Support resource management process improvements and documentation.
  • Collaborate with Account Management, Production, Creative, and Talent & Operations to support staffing needs.
  • Communicate staffing updates across teams.
  • Support ad hoc resourcing projects and studio-wide planning.
  • Build strong working relationships across the studio and serve as a reliable scheduling contact.

Job description

We are looking for a Talent & Resource Coordinator to join DE-YAN's Talent Operations team. This is a hands-on support role focused on helping keep creative staffing, scheduling, and resource information organized and up to date across the studio.

You will work closely with the Sr. Resource Manager, Creative Directors, and Producers to support day-to-day staffing needs, maintain accurate schedules, coordinate freelance talent, and help ensure teams have clear visibility into availability and capacity.

This role is a great fit for someone who is highly organized, detail-oriented, and interested in learning more about creative operations and resource management within a fast-paced studio environment. You should be comfortable juggling multiple requests, keeping systems accurate, and communicating clearly across teams.

RESPONSIBILITIES
  • Support the Sr. Resource Managers with day-to-day creative staffing and scheduling across client accounts
  • Maintain accurate team schedules and allocations in Float
  • Help track team availability, upcoming roll-offs, and capacity across projects
  • Coordinate staffing updates with Creative Directors, Producers, and project teams
  • Help identify scheduling conflicts or gaps and flag them to the Sr. Resource Manager
  • Support weekly resource planning meetings by preparing staffing updates and maintaining accurate information
  • Assist with creative team time-off tracking and routing requests as needed
  • Help maintain and update the creative team skills matrix
  • Support general resource management process improvements and documentation
  • Work closely with Account Management, Production, Creative, and Talent & Operations to support staffing needs across projects, pitches, and internal initiatives
  • Help communicate staffing updates and changes across teams
  • Support the Sr. Resource Manager with ad hoc resourcing projects and studio-wide planning needs
  • Build strong working relationships across the studio and serve as a reliable point of contact for scheduling and resource questions
QUALIFICATIONS
  • 2–4 years of experience in resource management, creative operations, project coordination, production coordination, or a similar role within an agency, studio, or creative environment
  • Strong organizational skills and attention to detail
  • Comfortable working with schedules, trackers, and operational systems
  • Able to manage multiple requests and shifting priorities in a fast-paced environment
  • Clear, professional communicator who enjoys working across different teams
  • Proactive and solutions-oriented, with a willingness to ask questions and learn
  • Familiarity with resource management or project management platforms is a plus; Float experience is helpful but not required
  • Proficient in GSuite and comfortable learning new tools and systems
  • Interest in creative operations, staffing, and talent management
