Job Title: Talent Acquisition Specialist

Summary: As a Talent Acquisition Specialist, you will work closely with the on-site team and Talent Acquisition Recruiters to ensure candidates complete all pre-employment requirements in a timely and compliant manner. This role is responsible for coordinating and conducting pre-employment health screenings, facilitating new hire onboarding and orientation, and preparing onboarding documentation.
Responsibilities
- Provide necessary information and resources to support a smooth and successful onboarding experience for new employees.
- Schedule and conduct in-office onboarding/processing activities and coordinate on-site new hire orientation sessions.
- Serve as a primary point of contact for new hires, addressing questions and concerns throughout the onboarding process.
- Partner with the Talent Acquisition team and site leadership to ensure a seamless transition for new hires.
- Monitor candidate progress on required pre-employment tasks, including background checks, drug screens, health screens, I-9 compliance, E-Verify compliance, employment paperwork, and site-specific requirements.
- Facilitate completion of new hire documentation, including employment forms, benefits enrollment, and other required paperwork.
- Ensure all onboarding activities are completed in accordance with legal, regulatory, and company compliance requirements.
- Perform administrative duties including data entry, filing, scanning, scheduling, and communication with candidates and site personnel via phone and email.
- Maintain accurate and up-to-date candidate records within the Applicant Tracking System (ATS).
- Perform other duties as assigned.
Required Skills & Qualifications
- High school diploma or equivalent.
- Ability to travel occasionally for job fairs, site visits, training, and other business needs.
- Comfortable conducting health screenings and maintaining HIPAA compliance.
- Comfortable working with medical PPE and maintaining a sterile environment.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, etc.).
- Strong organizational skills and attention to detail with the ability to manage multiple onboarding processes simultaneously.
- Excellent verbal and written communication skills and the ability to build positive relationships with new hires and team members.
- Adaptability and flexibility to support individuals from diverse backgrounds and experiences.
- Ability to meet deadlines and perform effectively in a fast-paced environment.
Preferred Skills & Qualifications
- Knowledge of employment laws, compliance requirements, and onboarding regulations.
- Previous experience in Healthcare, Public Services, Administration, Human Resources, Staffing, or Industrial Construction environments.
