Job summary

Aquent Talent is seeking a high-volume Talent Acquisition Coordinator to support Warren, MI-based hiring efforts and ensure exceptional candidate and hiring manager experiences.

You will partner with TA Leaders, manage interview calendars, maintain accurate candidate records in the ATS, and drive organized, data-driven recruitment workflows in a fast-paced environment.

Responsibilities

  • Coordinate and manage interview scheduling with precision, resolving conflicts to minimize disruptions for candidates and interview teams.
  • Deliver top-notch candidate care by providing timely, accurate, and thoughtful responses to candidates, TA Partners, and Hiring Managers—ensuring a positive impression.
  • Serve as a trusted partner to TA Partners, maintaining open communication and a seamless hiring experience.
  • Respond to inquiries with urgency and accuracy, ensuring stakeholders receive reliable information throughout the process.
  • Maintain and update candidate records in ATS and other platforms with data integrity.
  • Manage candidate trackers and dashboards to keep information current and actionable.
  • Proactively communicate challenges to the recruiting team and escalate to protect timelines.

  • Coordinate and manage interview scheduling with precision, proactively resolving conflicts and calendar changes to minimize disruptions for candidates and interview teams.

  • Deliver top-notch candidate care by providing timely, accurate, and thoughtful responses to candidates, Talent Acquisition Partners, and Hiring Managers—ensuring every interaction leaves a positive impression.

  • Serve as a trusted partner to Talent Acquisition Partners, maintaining open communication and a shared commitment to a seamless hiring experience.

  • Respond to all inquiries with urgency and accuracy, ensuring candidates and stakeholders receive consistent, reliable information throughout the process.

  • Maintain and update candidate records in applicant tracking systems and other platforms with meticulous attention to detail, ensuring data integrity and consistency.

  • Manage and maintain candidate trackers in alignment with the Applicant Tracking System, leveraging reporting tools and dashboards to keep information current and actionable.

  • Proactively communicate challenges or potential issues to the recruiting team throughout the hiring process, escalating promptly to protect timelines and the overall candidate and hiring manager experience.

What You'll Bring

To excel in this role, you will possess a strong customer service mindset, a drive to continuously identify opportunities for improvement, and the ability to manage high-volume workflows without sacrificing accuracy. You are process-driven, detail-obsessed, and comfortable working independently with minimal supervision.



  • Intermediate-to-advanced proficiency with an enterprise Applicant Tracking System (ATS), preferably a leading platform, with comfort navigating candidate stages, running reports, and maintaining data accuracy across requisitions.

  • Intermediate proficiency in general office productivity suites, specifically calendar management (scheduling, Free/Busy visibility, managing reschedules) and spreadsheet software (Formulas, VLOOKUP, filtering, sorting, and managing data exports for tracking).

  • Strong written and verbal communication skills.

  • Strong organizational skills.

  • Proven ability to manage multiple stakeholders effectively.

  • Experience utilizing an interview scheduling tool, especially AI-based platforms or similar tools for automated, semi-automated, or round-robin interview scheduling.
