BioPhase Solutions specializes in recruiting top talented professionals for West Coast Life Sciences communities. We are currently looking for a HYBRID Contract-to-Hire (6mo to potential hire) Talent Acquisition/Recruiting Coordinator to work for a leading Seattle area biotech company.
*Must be local to Seattle, WA and willing to work hybrid 1-2 days/week onsite.
Responsibilities
- Coordinate phone screens, virtual interviews, and onsite interviews across candidates, recruiters, hiring managers, and interview teams
- Create interview schedules and support interview activities from initial coordination through completion
- Communicate scheduling details, changes, and next steps clearly and promptly
- Post approved job openings across appropriate recruiting channels
- Prepare, route, and track offer letters through signature
- Support preemployment and onboarding activities for incoming employees
- Coordinate candidate travel and new hire relocation when needed
- Serve as an initial point of contact for routine candidate questions involving interviews, travel, relocation, and onboarding
- Maintain accurate candidate records, documents, and workflows within the applicant tracking system
- Gather job descriptions, approvals, and supporting information for new recruitment requests
- Support recruiting projects involving system administration, training, outreach, career events, and employer branding
- Maintain recruiting trackers, shared documents, and SharePoint materials
- Troubleshoot routine scheduling, document, and system issues independently
- Monitor outstanding tasks and follow up proactively to keep recruiting activities moving forward
- Provide additional recruiting and administrative support as needed
Qualifications
- Bachelor's degree or equivalent professional experience
- Ideally 1-2 years of experience in recruiting coordination, human resources support, or corporate office coordination
- Strong experience managing high volume scheduling and complex calendars
- Excellent customer service, communication, and interpersonal skills
- Highly organized with strong attention to detail, follow through, ownership, and urgency
- Ability to prioritize time sensitive requests and adapt quickly when schedules or business needs change
- Comfortable working independently, troubleshooting routine issues, and escalating concerns appropriately
- Experience using applicant tracking systems and managing recruiting workflows
- Proficiency with Microsoft Excel, Word, PowerPoint, SharePoint, and shared document systems
- Greenhouse experience is helpful but not required
- Recruiting or human resources experience is preferred, although candidates with strong transferable coordination experience will be considered
- Biotech or life sciences industry experience is not required
- Must reside within commuting distance of Seattle and be available to work onsite 1 to 2 days per week
- HR certification is helpful but not required
