Job description

Summary:

This role sits within a talent acquisition team guided by a recruiting team lead, working alongside recruiters and hiring managers. You help candidates move through the recruiting process by keeping application information accurate, arranging interviews, and providing clear updates that support a consistent candidate experience. Your work connects candidate inquiries, interview calendars, and recruiter priorities so the team can make informed hiring decisions without avoidable delays. This temporary position is fully remote, allowing you to work from home in New York, United States, while completing desk-based recruiting support. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities
  • Review incoming applications, candidate emails, and recruiter requests in the assigned queue; identify the next action and confirm which recruiter owns each opening.
  • Check applications against recruiter-provided job requirements, flag missing information, and refer screening decisions to the recruiter rather than making independent hiring recommendations.
  • Update candidate profiles, application stages, contact details, and activity notes in an applicant‑tracking system such as iCIMS, checking entries before saving changes.
  • Publish approved job postings using supplied job descriptions and recruitment advertising instructions; report outdated information or posting errors to the recruiting team lead.
  • Organize interview availability with candidates, recruiters, and hiring managers using a scheduling and calendar tool such as Calendly; confirm arrangements before sending invitations.
  • Send approved interview details, preparation information, and status messages, answering routine candidate questions while referring role‑specific questions to the assigned recruiter.
  • Monitor upcoming interviews and outstanding responses; send reminders, follow up on unanswered messages, and alert the recruiter when delays could affect progress.
  • Track active candidate pipelines and recruiter‑requested next steps, keeping applicants attached to the correct opening and identifying entries needing review.
  • Request missing interview feedback from interviewers, record recruiter‑approved outcomes, and close assigned tasks once candidate communications and system updates are complete.
  • Maintain quality through accurate updates, timely turnaround, complete notes, and consistent follow‑up; escalate conflicting instructions or recurring errors to the recruiting team lead.
Qualifications
  • High school diploma or equivalent.
  • No experience required; related experience in recruiting support, candidate communication, or administrative coordination is preferred.
  • Basic understanding of talent acquisition stages, job descriptions, candidate pipelines, and the distinction between administrative checks and recruiter decisions.
  • Willingness to learn an applicant‑tracking system such as iCIMS and maintain accurate candidate information using established procedures.
  • Comfort arranging interviews through a scheduling and calendar tool such as Calendly and checking invitation details carefully.
  • Clear written and verbal communication for professional candidate updates, interview confirmations, and concise handoffs to recruiters.
  • Ability to prioritize incoming requests, protect candidate information, and seek guidance when instructions or application details are unclear.
  • A reliable computer, high‑speed internet, and quiet private workspace, with availability for the 40‑hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.
  • Fully remote work focused on desk‑based recruiting support from home.
  • Structured onboarding and training on an applicant‑tracking system such as iCIMS and a scheduling and calendar tool such as Calendly.
  • Regular check‑ins with the recruiting team lead for questions, feedback, and guidance.
  • Practical development in candidate communication, interview coordination, job posting, and talent pipeline organization.
  • Health coverage, paid leave, a 401(k), maternity leave, and bonus opportunities.
