Job summary

University of Illinois Hospital & Health Sciences System (UI Health) in Chicago seeks a Medical Office Specialist to manage surgical schedules, coordinate cases, and handle pre/post-operative activities. You will liaise with clinicians, staff, and external offices to ensure timely patient preparation and accurate health-record exchanges.

The role requires strong communication, independence, and the ability to coordinate across departments to optimize OR time and patient care.

Qualifications

  • This job requires a combination of five years of related work experience or education.
  • College education with coursework in medical/business fields or related experience is acceptable.
  • Residency requirement and background checks apply as per university policy.

Responsibilities

  • Develop and maintain surgical schedules and related subspecialty calendars.
  • Triages telephone calls and emails; responds to inquiries regarding case coordination.
  • Coordinate with Patient Accounts and external providers for self-pay quotes.
  • Arrange pre/post-operative appointments, pre-certifications, referrals, and records.
  • Communicate scheduling information clearly to clinicians and staff.
  • Prepare monthly surgical reports and coordinate health-record exchanges with insurers.
  • Distribute weekly surgery schedules to all stakeholders.
  • Analyze Surgery services utilization and OR block time; support process improvements.
  • Ensure instruments and supplies are available for scheduled cases.
