Job description

Description:Position Summary
Dermatology Associates, the leading dermatology practice in the Tri-Cities region, is currently seeking a full-time support services specialist (starting at $15/hour) to join our team in Kingsport, TN. A Support Services Specialist can expect to train and work in areas such as scheduling, medical records, and front desk registration. Successful candidates will possess excellent communication ability, exceptional customer service skills and a team player attitude. Prior medical office experience a plus, and customer service-related experience highly preferred.

Key responsibilities include but are not limited to the following:

Essential Functions:
-Scheduling/Phone Operator: Answer and direct incoming calls; schedule appointments according to protocol.
-Medical Records: Prepare charts for upcoming appointments; scan and process documents; respond to medical record requests from patients, providers, and legal representatives.
-Check-In/Registration: Welcome patients; verify and update demographic information; collect co-pays and prior balances.
-Check-Out: Schedule follow-up visits and surgeries; ensure billing accuracy and forward slips to coder; collect payments as needed.
-Chart Scanning: Scan historical patient records into the electronic system.
-Patient Communication: Respond to messages via patient portal; manage task messaging with providers and clinical staff.

Marginal Functions:
-Assist in training new staff.
-Answer phones and relay information as needed.
-Support other clerical departments as needed.
-Maintain office supplies.
-Participate in staff meetings and in-service training.
-Maintain a clean and organized work area.
-Perform opening and closing duties including powering on/off equipment.
-Ensure compliance with OSHA, HIPAA, and other safety regulations.
-Stay informed of changes that affect duties and patient care.
-Perform additional duties as assigned.

Qualifications

Education:
-Required: High school diploma or GED required.
-Preferred: coursework in medical terminology, business, math, grammar, typing, and computer skills.

Experience:
-Prefer at least one year of experience in a medical office setting.
-Other combinations of experience in relevant settings will be considered.

Skills & Competencies:
-Knowledge of business office procedures.
-Strong written and verbal communication skills.
-Professional telephone and interpersonal etiquette.
-Accurate filing and record-keeping using numeric/alphabetical systems.
-Ability to work effectively with patients, coworkers, and physicians.
-High attention to detail and time management skills.
-Ability to multi-task and remain productive independently.
-Strong problem-solving skills and ability to follow directions.

Working Conditions:
-Medical office environment with frequent patient interaction.
-High-traffic, high-stress, and interruptive atmosphere.
-Occasional irregular hours and exposure to medical substances.
-Must be available to rotate among office locations.

Physical Demands:
-Extended periods of sitting, computer work, and data entry.
-Occasional bending, stretching, and light lifting.
-Frequent use of office equipment (keyboard, calculator, phone, copier, fax).
-Must be able to type at least 40 WPM.

Schedule:
-Full-time
-Monday-Friday
-8-hour shift
