Job summary

Cottage Health in Goleta, CA seeks a clinic office supervisor to oversee the Ridley-Tree Center for Wound Management office, staff, and volunteers. You will supervise reception, scheduling, clerical duties, and disease-specific dashboards to support high-quality patient care.

You will lead staff development, ensure compliant practices, and collaborate on process improvements while maintaining a positive, patient-focused environment. This role includes performance feedback and regular evaluations.

Qualifications

• Minimum: Associate's Degree or equivalent experience (2 years of related experience equals 1 year of education).
• Preferred: Bachelor's Degree in Arts/Sciences (BA/BS).
• Minimum: Word, Excel and Outlook; 45 wpm typing speed.

Responsibilities

• Participates in hiring, onboarding, and training of new front office staff. Ensures competency validation is complete.
• Provides leadership to the office staff; acts as mentor and role model with constructive feedback.
• Oversees staffing, schedules, time cards, and annual evaluations.
• Develops optimal workflows and implements process improvements; ensures HIPAA compliance.
• Oversees department charge reconciliation, inactivity reports, patient satisfaction, and copayment processes with monthly analysis.
• Facilitates quality customer service following Patients First philosophy.
• Oversees disease-specific dashboards and other performance dashboards; coordinates staff files and licenses.
• Coordinates hiring, onboarding, scheduling, staffing, and competency validation of clinical support staff and patient transporters.

Job Description

Oversees the Ridley-Tree Center for Wound Management clinic office and supervises the office staff, clinical support staff, transport team and volunteer interns. Performs and oversees clinic reception, scheduling of staff, clerical duties, and management of disease specific dashboards.

Responsibilities

• Participates in the hiring, onboarding, and training of new front office staff. Ensures competency validation process is complete. (10%)
• Provides leadership to the Ridley-Tree Center for Wound Management office staff. Maintains a cooperative and positive attitude befitting the role of supervisor. Acts as a role model and mentor, providing support through positive verbal communication. (25%)
• Oversees staff in assigned areas, manages schedules and daily staffing. Oversees and approves time cards. Coaches and counsels staff when necessary. Provides constructive and timely performance feedback and annual evaluations. (15%)
• Works with staff to develop optimal workflows and develops and implements process improvement initiatives for clinic. Ensures staff adheres to HIPPA by utilizing hospital systems to perform required job functions. (10%)
• Oversees the department charge reconciliation , inactivity report, patient satisfaction and copayment collection process providing monthly analysis with the direct reports. (10%)
• Facilitates the provision of quality customer service, following CH Patients First philosophy. (10%)
• Oversight of Joint Commission Disease Specific Certification Dashboards and various other dashboards for performance improvement. Coordination of all staff files and competency validation, licenses, and certifications. (10%)
• Coordination of hiring, onboarding, scheduling, staffing and competency validation of clinical support staff and patient transporters. (10%)

LEVEL OF EDUCATION

Minimum:

• Associate's Degree (AA) or equivalent experience, using the standard of 2 years of applicable experience equals 1 year of education.
