Supervisor - Art, Art History & Design

Wayne State University is searching for an experiencedSupervisor - Art, Art History & Design at its Detroitcampus location.

Essential functions (job duties):

Oversees the day-to-day workflow of the Department of Art, ArtHistory & Design within the College of Fine, Performing andCommunication Arts (CFPCA). Serves as the key contact person forexternal constituents conducting business with the department andfor faculty and staff seeking assistance with the University'sinternal processes.

Supervise and participate in the processing of university paperworkincluding personnel, payroll, travel reimbursements, guest artists,awardees, and special guests. Prepare class scheduling, includingcoordinate scheduling, room changes, liaison to scheduling.

Supervise, train and coordinate clerical/technical support staff,student assistants and temporary employees. Assign tasks toappropriate staff. Develop standard work procedures whereappropriate. Review, monitor and evaluate work performance.Coordinate work schedules, vacation days and lunch hours forclerical student assistants and temporary staff.

Maintain faculty and staff personnel files and departmentalrecords; supervise the maintenance of student files. Preparedepartmental activity reports and analysis, including surveys,grants proposals and reports. Maintain all student activity awardsand supporting documentation.

Represent the department to other University personnel, outsideagencies and professional groups. Participate on various committeesand attend meetings. Serve as key resource person resolving problemand answering questions as they arise.

Monitor and supervise the maintenance of equipment, materials,supplies and the ordering of supplies. Oversee the maintenance andrepair of office equipment. Serve as the liaison with Facilities,Planning, and Management regarding the maintenance issues withoffices and classrooms.

Respond to inquiries relative to operational activities. Identifyand resolve problems as they occur; ensure operations are conductedin accordance with university policies and procedures and assist inimproving operational efficiencies.

Assist in budgetary/personnel activities. Monitor various accountsources; maintain related reports and records; prepare and process University forms and related paperwork actions; utilize appropriateuniversity systems (e.g., HRMS, FMS, EPAF).

Assist in departmental searches, including scheduling of interview appointments and travel arrangements. Generate faculty searchbudget reports. Coordinate reservation and catering for academicunit special events.

Perform other related duties as assigned.

Qualifications:

Bachelor's degree

Intermediate (3 to 4 years job-related experience)

Comfortable with a variety of computer programs (includingMicrosoft, Excel and Work, PowerPoint, Canvas)

Ability to learn computer applications quickly.

Excellent written and oral communication skills.

Attention to detail.

Ability to work independently while establishing and maintainingeffective working relationships with a wide variety ofconstituents.

Ability to work through others and make appropriate interventions to ensure workflow is efficient and adequate resources areavailable.

Possesses the ability to effectively serve on university committeesand task forces.
