  • Maintain Excel spreadsheets (edit formulas, enter accurate information).
  • Organize and file digital research grants and proposal packets with supporting documentation.
  • Help track internal proposal routing, approvals, denials, and submission statuses in Maestro.
  • Distribute regional funding opportunities to campus investigators.
  • Route critical financial paperwork to university budget administrators.
  • Coordinate sign‑ins for training events on grant writing or proposal development.
  • Assist with the Annual Research Symposium as needed.
  • Shred confidential data after shredding approval by university.
  • Clean and maintain office work area.
  • Keep copy machine filled with paper.
  • Collaborate and communicate with supervisor.
  • And other duties as required.

Job Description

Student Assistant-Sponsored Programs (Pre-Award Focus) IMPORTANT: Total number of hours to be worked per week cannot exceed 19 hours while taking classes (if employed by multiple departments, the total combined must not exceed 19 hours). Student workers may work full-time during interim periods (between semesters) and during the summer. Position is paid bi-weekly and hourly wage will be based upon experience.

SUMMARY

The Sponsored Programs Unit, operating within the Division of Research & Economic Development at East Texas A&M University, is seeking a Student Assistant. This role supports the university's research enterprise by helping manage grant development, compliance, and award administration.

DUTIES & RESPONSIBILITIES
  • Greet visitors to Vice President for Research and Economic Development (VPRED) suite of offices and relay information to appropriate personnel
  • Assist students, staff, faculty, and university community with general questions
  • Maintain and update webpages for Sponsored Programs with preaward tools, templates, and funding opportunities
  • Maintain Excel spreadsheets (editing formulas, entering accurate information)
  • Organize and file digital research grants and proposal packets, including supporting documentation
  • Help track internal proposal routing, approvals, denials, and submission statuses within the Maestro system
  • Distribute regional funding opportunities to campus investigators

Work Hours & Conditions

Open to all actively enrolled students regardless of financial aid status. Students do not need to be enrolled during summer if they plan to return in the fall. Work‑study positions are need‑based jobs funded through federal or state financial aid programs and allow students to earn money to help pay for educational expenses. Must be awarded federal or state work‑study through Financial Aid. May work up to 19 hours per week during the semester. May work full‑time during breaks and summer if returning in the fall. Must not work during scheduled class times. Positions are limited to the amount awarded and must follow program guidelines.

Graduate Assistantships

Graduate assistantships offer opportunities to teach, conduct research, or assist in academic departments while continuing your graduate education. To qualify, students must: Be fully admitted to a graduate program (not provisional or non‑degree) Be in good standing with a minimum 3.0 GPA Be enrolled in courses each term of the assistantship Meet specific credit hour and subject requirements for teaching or lab roles Non‑native English speakers must demonstrate language proficiency Research assistants must complete Responsible Conduct in Research training Work up to 20 hours per week, depending on the appointment May have teaching or research assignments, or provide administrative support.
