Job summary

Patrick County High School in Stuart, Virginia seeks an Administrative Assistant to support Student Services and Registrar duties. This full-time role focuses on enrollment, record-keeping, and coordination with staff and families.

You will manage PowerSchool data, student records, and essential office functions, ensuring confidentiality and accuracy while providing courteous service to staff and the public.

Qualifications

• Must possess a high school diploma or equivalent.
• Clerical and administrative experience preferred.
• Proficiency in computer applications and programs.
• Ability to communicate effectively and courteously with staff and the public.

Responsibilities

• Ensures accuracy of PowerSchool information (demographics, grades, Parent Portal, enrollment, testing data, custody, etc.).
• Maintains and safeguards all student records and documentation, ensuring confidential information is secured from view and access by unauthorized individuals at all times.
• Coordinates homebound, out-of-district, foster care, and homeless services.
• Issues provisional driver’s licenses.
• Responsible for student enrollment, withdrawal, and transfer requests.
• Processes incoming and outgoing records and transcript requests.
• Verifies information for DSS, Juvenile Court Services, insurance, etc.
• Maintains accurate, complete, and organized student cumulative records; promptly files student documentation.
• Regularly audits files for completeness - purges, retains, archives, and disposes of records in accordance with PCPS procedures, FERPA, Virginia requirements, and the Library of Virginia Records Retention and Disposition Schedule.
• Manages supplemental backpack food program.
• Ensures accuracy of graduation information (early grads, diplomas, retentions, state reports, etc)
• Takes attendance for, supervises, and enters grades of Career Education students and all P&HCC dual enrollment students.
• Maintains the Student Services webpage
• Performs other duties as assigned
