Job summary

The University of Texas at Austin is seeking a Student Services Coordinator for the College of Fine Arts on the UT Main Campus. The role manages student inquiries, coordinates services, and supports academic programs with a strong emphasis on customer service and cross-unit collaboration.

The position is exempt, full-time, and based on campus with a potential remote day after 45 days, requiring 40 hours per week. Collaboration with administrators, faculty, and students is essential.

Qualifications

  • Bachelor's Degree required or equivalent experience.
  • At least 3 years coordinating or administering a program.

Responsibilities

  • SERVICES COORDINATION: Manage incoming student messages to central student affairs office, responding promptly and efficiently to routine questions and routing complex messages to subject matter experts for direct reply.
  • PROCESS MANAGEMENT: Process non-automated Q-drop, pass/fail changes, withdrawals, late registrations, and other university transactions; liaise with the Registrar; apply policies.
  • COMMUNICATION COORDINATION: Oversee Student Affairs website content; update copy and links; disseminate information via campaigns and newsletters.
  • WORK-STUDY SUPERVISION: Hire, train, and supervise 1–2 student workers; manage schedules and coverage.
  • DEGREE CERTIFICATION: Cross-train on Degree Coordinator duties; review graduation applications and degree audits.

Responsibilities
  • SERVICES COORDINATION: Manage incoming student messages to central student affairs office, responding promptly and efficiently to routine questions and farming out more complex messages to team/college subject matter experts for direct reply. Meet with students experiencing acute non-academic challenges; connect students with appropriate college and campus resources for long‑term support. Coordinate responses to inquiries from administrators, parents, faculty, and staff.
  • PROCESS MANAGEMENT: Process non-automated Q-drop, pass/fail change, withdrawal, late registration, tuition rebate, and other university transactions. Serve as primary liaison with relevant university units, notably the Office of the Registrar. Apply and interpret Fine Arts and university‑wide policies and procedures.
  • COMMUNICATION COORDINATION: Oversee Student Affairs website content: write or revise copy, improve functionality and appearance, keep information and links up to date. Disseminate Student Affairs information to students, primarily through EAB Navigate campaigns and editorial oversight of student electronic newsletter (Doty Digest).
  • WORK-STUDY SUPERVISION: Hire, train, and supervise one to two student work‑study employees. Promote exceptional customer service, insisting upon client interactions that are friendly, accurate, and thorough. Manage schedules, ensuring work‑study front desk coverage when full‑time staff are unavailable. Assign work‑study staff appropriate tasks in support of Student Affairs.
  • DEGREE CERTIFICATION: Cross‑train on Degree Coordinator duties. Provide surge and backup assistance reviewing graduation applications, processing degree audit updates, and revising student degree planning materials.
  • DIRECTOR INITIATIVE SUPPORT: Work with the Director of Student Affairs to review, streamline, design, and document policies, procedures, and practices for the College. Assist Director with planning and executing student affairs initiatives and special projects.
  • TEAM ENGAGEMENT: Work closely with Student Affairs leadership to troubleshoot problems, enhance efficiency, and strengthen unit excellence. Actively participate in team meetings and decision making. Advance Fine Arts Student Affairs objectives and contribute to its programs.
  • PROFESSIONAL DEVELOPMENT AND UNIVERSITY SERVICE: Increase knowledge and abilities through continuing education and professional development. Serve on Fine Arts Appeals Committee. Serve on other college or university committees when called upon. Staff student events (Commencement, Gone to Fine Arts, etc.).

Preferred Qualifications
  • Experience working with college/university students.
  • Experience supervising employees.
  • Demonstrated success managing projects in an office setting.
  • Proficient in UT Advisors' and Reporting Toolkits and/or EAB Navigate.
  • Working knowledge of student policies and procedures outlined in the UT Austin General Information Catalog and Undergraduate Catalog .
  • Working knowledge of DocuSign.
Salary Range

$50,000 - $54,000

Working Conditions
  • On‑campus position with optional 1 remote day after 45‑days in position, pending manager approval

Work Shift

Monday - Friday 8am - 5pm, with occasional evenings and weekends for special student events.
