Augusta University in Georgia is seeking a Student Records Coordinator within the Registrar's Office to manage all course scheduling processes and audit data entry for course sections. The role involves coordinating with campus partners to improve the customer experience of the course schedule.

Qualifications

  • Intermediate knowledge of computers and office equipment; preferably Excel, records management experience.
  • Knowledge of AU policies and Banner/SRS; ability to explain policies and maintain student records.

Responsibilities

  • Course Data Auditing and Correction: ensure all course sections have mandatory information for reporting; monitor CIR and policy compliance.
  • Course Scheduling: assist with rolling the schedule forward each term; notify departments of deadlines and responsibilities.
  • Course Scheduling Email Resource: respond to scheduling inquiries; manage the Classes@augusta.edu mailbox and resolve issues.
  • Communication: maintain scheduling content on the Registrar's website and prepare the Curriculum calendar resources.
  • Training: provide training to scheduling coordinators and staff; prepare training materials and videos.
  • Other duties as assigned.

Job Summary

As a member of the Curriculum Team in the Registrar's Office the Student Records Coordinator is responsible for managing all course scheduling processes in the Registrar's Office and managing the decentralized scheduling process of the campus. They will audit all data entry for course sections and manage all communications for course scheduling from the Registrar's Office. The person in this position will collaborate with other campus partners who work with the course schedule to improve the experience of customers utilizing the course schedule

Responsibilities

The duties include but are not limited to:

Course Data Auditing and Correction:
Ensures all course sections include mandatory information for state and federal reporting. Manages the Curriculum Inventory Reporting process, Course Attributes Reporting process, Monitors for compliance of all AU Policies for course scheduling. These include but are not limited to: Standard Course Meeting Time Policy, Course and Classroom Scheduling Policy. Validates Academic Data Collection reporting each semester and makes appropriate corrections.

Course Scheduling:
Assists with preparations and with rolling the course schedule forward each term, assists with notifications to department contacts of course scheduling deadlines and responsibilities. Assists departments with scheduling questions. Monitors the progress of section updates which must occur according to set deadlines. Audits and updates course fees, course attributes, CIR completion. Publishes the schedule of classes, manages variable eCore, eMajor, USGG and related Ingress processes. Collaborates regarding classroom scheduling release and required textbook and materials attribute updates with the bookstore.

Course Scheduling Email Resource:
Monitors and responds to course scheduling correspondence sent to the Classes@augusta.edu email resource. Creates and updates classes based on correspondence while adhering to regulations and section coding standards. Investigate and troubleshoot registration issues related to sections.

Communication:
Creates, reviews, and updates content associated with course scheduling for the Registrars website in coordination with the Communications Specialist and leadership. Participates in planning and preparation work related to the Curriculum calendar for the scheduling process. Maintains associated resources, including the schedule reading guide. Creates and maintains standard operating procedures.

Training:
Provides training in various formats to scheduling coordinators and Registrars Office personnel as needed. Participates in planning and hosting of scheduling workshops and town halls. Coordinates Teams and Zoom meetings with customers as needed for course scheduling assistance and training. Provides and maintains training videos, job aids and other resources to assist with training.

Other duties as assigned: Perform all other duties as assigned.

Required Qualifications

Bachelors' degree from an accredited college or university and one year of customer service or related experience

OR

High School Diploma/GED from a recognized state or federal accrediting organization with two years of customer service or related experience.

Preferred Qualifications

Intermediate knowledge of computers and office equipment is needed; Preferably, skilled in Microsoft Excel, experience in customer service and/or records management.

Knowledge, Skills, & Abilities

KNOWLEDGE
Knowledge of AU policies and procedures; ability to explain policies and procedures ability to maintain student records in Banner.

Thorough knowledge of USG rules and regulations

Thorough knowledge of University policies and procedures related to AU

Proficient with Microsoft Office Suite and other computer software/databases

Knowledge of integrated information systems and principles, policies and techniques of education administration

SKILLS

Detail-Oriented ability to concentrate on student data for long periods of time.

Excellent technical skills.

Excellent verbal/written communication, interpersonal, organizational and planning skills

ABILITIES

Shift/Salary/Benefits

Shift: Days; M-F (Work outside of normal business hours may be required)

Pay Band: B6

Salary: Minimum: $18.85/hour - Midpoint: $18.92/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
