Job summary

University of Wisconsin–Milwaukee’s School of Continuing Education (SCE) Engineering Department is hiring an interim Student Office Assistant to support daily administrative functions and update program information.

Based downtown, the role involves handling email/phone inquiries, preparing course materials, and coordinating with instructors and partners. The position offers 15–20 hours weekly and potential extension through the Spring semester.

Qualifications

  • Proficient with Office365 software (Outlook, Onedrive, Sharepoint, Teams).
  • Proficient with Canvas & Zoom.
  • Proficient with Excel, Word, & Adobe Acrobat.
  • Professional communication, timeliness, and organization skills.

Responsibilities

  • Monitor the shared Engineering department email inbox and phone line; provide prompt responses.
  • Prepare course materials (SETs, attendance sheets, name tents, Zoom links, etc.).
  • Assist in accessibility communication and implementation across programs.
  • Perform general administrative duties for online and in-person courses.
  • Emailing and calling instructors, students, partners, & other departments on behalf of the Engineering Department.
  • Support additional administrative projects and organize information from documents.
  • Perform other administrative duties as assigned.

UWM’s Engineering Department at the School of Continuing Education (SCE) is hiring an interim Student Office Assistant to assist with the daily functions of the department. The SCE Engineering Department provides a variety of engineering professional development programs to southeastern Wisconsin and beyond.

This position effectively assists the interim management of The Engineering Department at The School of Continuing Education by executing routine academic administration duties in support of ongoing programing. Additional responsibilities will revolve around updating programing and departmental information maintenance.

Compliance with governmental regulations and institutional practices is required.

This job is designed to provide administrative support through SCE’s Department of Engineering.

Essential Functions:
  • Monitoring the shared Engineering department email inbox and phone line. Providing prompt and courteous responses.
  • Prepare course materials (create and submit SETs, create attendance sheets, print name tents, create zoom links, order lunch cards, order printing, order books, mail course materials, print and record certificates, etc.)
  • Assist in the communication and implementation of accessibility across our programs.
  • General administrative duties preparing for online and in-person courses.
  • Emailing and calling instructors, students, partners, & other departments on behalf of the Engineering Department.
  • Additional administrative projects (examples: compiling contact information of interested parties, scanning and organizing files, and integrating information from old documents into old ones, ect.)
  • Other administrative duties as assigned.
Qualifications:
  • Proficient with Office365 software (Outlook, Onedrive, Sharepoint, Teams)
  • Proficient with Canvas & Zoom.
  • Proficient with Excel, Word, & Adobe Acrobat.Professional communication, timeliness, and great organization skills.
  • Ability to learn new processes.
Physical Requirements:
  • Located downtown at The School of Continuing Education in The Plankinton Building.
  • This position requires sitting at a desk and working on a desktop computer for most of the entirety of a shift.
  • Occasionally this position will require light lifting (boxes of printed course materials, moving physical documents, or pushing a cart to and from a classroom). Weight will remain under 8-10 ibs.
  • Physical accommodation is available
Hours and Compensation:

Pay starts at $14.00/hour, with opportunities to increase pay as you master new technical skills. Expect a schedule of 15–20 hours per week. This is a needs-based position, but you may count on work through the end of the Fall semester; with the possibility of extension through the Spring semester. Initial period: Sep. 14 – Dec. 23
