The Administrative Assistant I, provides essential support bymanaging front desk operations, greeting visitors, answering phonecalls, and performing a variety of clerical and administrativeduties to support the department. This includes managing schedules,handling communication, organizing documents, and assisting withday-to-day office operations. The role involves data entry,maintaining filing systems, and coordinating meetings, all whileensuring smooth workflow and efficient office management. TheAdministrative Assistant I plays a key role in supporting theteam’s needs, ensuring a productive and organized workenvironment.
Work involves a variety of tasks that require attention to detail,basic analytical skills, and the ability to follow establishedpractices and procedures. Supervision is provided to guide theemployee, with a focus on training and development. The positioninvolves working both independently and as part of a team tosupport staff and achieve goals.
Performs front deskoperations, greets and assists visitors in a professional andcourteous manner providing exemplary customer service, answers anddirects incoming calls, takes messages, and ensures timelyfollow-up, and monitors and manages office deliveries and maildistribution.
Provides general administrativesupport to department by managing all filing and maintaining thefiling system. Completes data entry, photocopying, and assists inthe preparation of documents, reports, and correspondence asneeded. Schedules appointments, meetings, and conference roomreservations. Provides administrative support to staff andmanagement, including handling routine inquiries and performingtasks as directed.
Ensures the office is keptclean, organized, and functional at all times. Performs inventoryof office supplies and requests/orders additional supplies asneeded.
Practices honesty bydemonstrating a consistent and uncompromising adherence to strongmoral and ethical principles, values, truthfulness, and accuracy inall actions. Addresses all student and employee behavior in aconfidential and respectful manner.
Establishes, maintains, and enhancespositive work relationships with students, staff, faculty, andadministrators.
Maintains informed on emerging technology trends and common userissues in higher education with an emphasis on community Colleges.Actively organizes and/or participates in applicable workgroups,trainings, workshops, seminars, committees and professionalassociations or conferences to promote continuous learning.
Performs other related duties within the scopeof the position as required for the efficient operation of thedivision and to support institutional objectives.
Compliance with all state, federal, and accreditationstandards/requirement, as well as all MATC policies andprocedures.
High school diploma orequivalent and a minimum of six (6) months of officeexperience.
High school diplomaor equivalent and one (1) year or more of office experience.

This position supports the Child Care ServicesDivision and is available to start immediately.
Up to 19 hours weekly, in-person, primarily based outof the Oak Creek Campus. Work is conducted during scheduled coursehours, Monday - Friday. Hours vary based on departmental needs.Employees will conduct all work hours in the State of Wisconsin,performing work outside the state is strictly prohibited.
Salary is determined by years of experience creditand internal salary equity. Salary determination will be only basedon years of credited experience that is listed on the jobapplication, please include complete work history.
