Job summary

OSU Oregon State University is seeking two student Events Specialists to support the College of Business, Marketing, Communications and Events. These roles assist with planning, execution, RSVP management, and vendor coordination for 150+ events annually, with pay of $16.55/hour and a 24-hour weekly cap.

Under supervision of the Director of Events, you will help with on-site setup, data tracking, and customer service. Strong MS Office and communication skills are expected from enrolled students.

Responsibilities

• Assist with all elements of event management from planning to day-of execution for in-person and virtual events.
• Attend meetings and take notes; manage RSVP tracking using Excel, Qualtrics, SharePoint, and Zoom.
• Coordinate with external vendors for catering, equipment and space rentals; maintain inventory.
• Set up marketing and event displays and handle data management and analytics.
• Provide on-site customer service during events and perform other duties as needed.

Job Description

This recruitment will be used to fill two part-time (a maximum of 24 hours per week) Student Events Specialist positions for the College of Business - Marketing, Communications, and Events Department at Oregon State University (OSU). These positions will work under the direction of the Director of Events and on the CoB Marketing, Communications and Events team that also includes the Assistant Director of Events. The CoB Event Team assists with over 150 events during the academic year, serving current students, external alumni and supporters, along with College of Business faculty and staff.

Pay rate for this position is $16.55 per hour.

Position Duties

• Assistance with all elements of event management and execution, from early planning to day-of setting up and taking down of both in-person and virtual events.
• Attending meetings and taking notes.
• Making and printing name tags and other printed materials.
• RSVP management (Excel, Qualtrics, Sharepoint, Zoom, etc.).
• Coordinating with external vendors for various event aspects such as catering, equipment and space rentals.
• Organizing and keeping inventory of event materials in storage spaces.
• Set-up of marketing and event displays.
• Data management, analytics, and tracking.
• Customer service on-site during events.
• Other administrative duties as needed.

Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study.

• High School student: Regularly enrolled in a high school or participating in a home-schooling program.
• Undergraduate and post-baccalaureate student: 6 credit hours per term.
• Undergraduate international student: 12 credit hours per term*.
• Graduate student officially admitted to Graduate School: 5 credit hours per term.
• Graduate international student officially admitted to Graduate School: 9 credit hours per term*.

*International students may be allowed to carry fewer hours than specified above and still be considered 'full-time' by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

Required Qualifications:

• Ability to take initiative.

• Proficiency in Microsoft Office Suite.
• Student in the College of Business is preferred, but not required.
• Applicants must be able to work a minimum of a 2-hour shift, and must be willing to work occasional nights and weekends.

Preferred Qualifications:

• Customer service or hospitality experience.
• Experience with design.
• Experience working in databases.
• Experience working or planning events.

Working Conditions / Schedule

• Workplace is a typical office environment. Hours can range from 7 AM - 9 PM and occasional evening and/or weekend hours are expected. However, shifts more typically Mon-Fri between the hours of 9 AM - 6 PM.
• Applicants must be able to work a minimum of a 2-hour shift but ideally will be available for 3-4-hour shifts.
• Students should be available to work 10-15 hours per week during the term.
• Physical requirements may include remaining in a stationary position, such as sitting or standing while completing a task, and maneuvering supplies up to 50 lbs.

Salary Range: $16.55
