Job summary

NYS Office of Information Technology Services is seeking Student Assistants to support the Operations team with procurement of IT consultants, HR onboarding, and process documentation. You will help manage activities across HBITS and staff augmentation contracts and assist with security clearances and task orders.

Ideal candidates are pursuing NYS college programs, have strong communication skills and familiarity with government procurement workflows.

Qualifications

  • Must be a US citizen or eligible to work in the United States.
  • Must be 18 years or older.
  • Currently attending a New York State college, university or graduate program, or a resident attending a NY institution.
  • Must have completed at least one year as a student at a degree-granting college or university (or be enrolled graduate student).
  • Minimum GPA of 2.0 or equivalent to a C.

Responsibilities

  • Assist with Tier II procurements using centralized contracts (HBITS, NYSTEC, IES/ITS Staff Augmentation).
  • Process consultant task orders, interviews, fingerprinting and security clearances.
  • Monitor procurement status with stakeholders and document decisions.
  • Create, edit and finalize internal templates and meeting materials.
  • Attend project meetings and document action items.

Under the direction of the IES Resource Management Lead, the Student Assistant(s) will assist the Operations team with various activities including procurement of IT consultants, process documentation activities and administrative tasks.

Under the direction of the IES Resource Management Lead, the Student Assistant(s) will assist the Operations team with various activities including procurement of IT consultants, process documentation activities and administrative tasks.



Duties Include, But Are Not Limited To


  • Assist with Tier II procurements using Office of General Services (OGS) centralized contracts such as Hourly Based Information Technology Services (HBITS), NYSTEC, and both IES and ITS Staff Augmentation Tier II procurement.

  • Perform and assist with processing of consultant task orders, interviews, fingerprinting and security clearances

  • Monitor, track and follow up on procurement status with various stakeholders

  • Create, edit and assist in finalization of internal templates.

  • Write and maintain meeting agendas and meeting minutes.

  • Attend various project meetings and document stakeholder decisions and action items.

  • Assist with Human Resource (HR) tasks and onboarding activities for new employees and consultants including equipment, accounts, badge access, etc.

  • Assist administrative team with scheduling meetings and interviews of incoming staff.

  • Assist with all phases of on and offboarding resources

  • Assist with resource projections

  • Assist with Internal Control coordination

  • Assist with travel expense requests, review and reconciliation.

  • Assist with ad hoc reporting and presentations for leadership team.

  • Assist with tracking and troubleshooting access to attendance and training tracking systems

  • Assist with general office management including equipment replacement, facilities issues, and inventory tracking.

  • Complete special projects as assigned by IES Resource Management Lead.



Preferred Skills


  • Proficiency with Microsoft Office, Visio, Access, Project, SharePoint, Power Apps, and Power Automate

  • NYS/NYC Government knowledge preferred

  • Excellent verbal and written communication skills

  • Health and Human Services experience

  • Human Resources experience

  • Career track in Government, contracts and procurement, Human Resources, Public Administration, or related field preferred



Qualifications

Minimum Qualifications


  • Must be a US citizen or foreign national eligible to work in the United States

  • Must be 18 years of age or older

  • Must be currently attending a New York State college, university or graduate program, or be a resident of New York State attending a college, university or graduate program outside of New York State

  • Must have completed a minimum of one (1) year as a student at a degree-granting two or four-year college or university (completion of one year’s worth of academic credits over a more extended period of time may qualify part‑time students) OR currently enrolled graduate student or accepted in a graduate degree program

  • Must have a minimum grade point average (GPA) of 2.0 or equivalent to a C.



ITS will not offer permanent employment to any candidate unless the candidate provides documentation that they are authorized to accept work in the United States on a permanent basis. It is the policy of ITS not to hire F1 or H1 visa holders for permanent employment or to sponsor non‑immigrant aliens for temporary work authorization visas or for permanent residence.



This position can be part time or full time.



Fingerprinting and background check may be required.
