Job summary

Archer, an aerospace company in San Jose, is seeking a Project Operations Specialist to act as the engine room of the AI and Product organization. This hybrid role combines leadership, finance, and people operations to keep the team’s daily rhythm seamless.

You will coordinate meetings, manage calendars and travel, own onboarding, contractor workflows, and cross-functional information flow. Successful candidates will have 5+ years in executive administration, 3+ years in project coordination,

Qualifications

• Bachelor's degree or equivalent professional experience.
• 5+ years in executive administration or similar high-level operational support roles.
• 3+ years in project management or program coordination within a professional environment.
• Ability to be onsite/in-office 5 days a week.
• A self-starter mindset with the ability to identify gaps and fill them without explicit direction.
• Proven ability to handle high-trust, sensitive information with total confidentiality (salary data, pivots, travel).
• Expertise in Google Workspace, Slack, and project management software (Smartsheet, Jira).
• Strong experience in calendar management, travel logistics, and basic financial reconciliation.
• Ability to interface with senior executives and cross-functional stakeholders with clarity and poise.
• A knack for fixing inefficient processes and scaling operational infrastructure.

Responsibilities

• Design and execute the organization meeting cadence.
• Identify cross-functional critical path to avoid silos.
• Drive follow-ups to meet deadlines and prevent bottlenecks.
• Manage complex calendar deconfliction, itineraries, bookings, and visas.
• Facilitate quarterly planning logistics.
• Maintain Google Drive structures, mailing lists, and Slack hygiene.
• Oversee spend management lifecycle: PO creation and card reconciliation.
• Own onboarding experiences for new hires.
• Oversee contractor management workflows for leadership.
• Lead offsites, celebrations, and all-hands logistics.
• Act as central point for organizational health initiatives.
