Job summary

Water Odyssey is seeking an organized, detail-oriented coordinator to support our Sales and Technical Services teams. You will coordinate projects after the sale, prepare submittals, and assist customers with parts and technical requests.

You will collaborate with Sales, Engineering, Operations, and Customer Service to keep projects moving, track documentation in HubSpot, and ensure timely updates on status and shipments.

Qualifications

• Excellent organizational and communication skills.
• Ability to manage multiple projects and priorities.
• Customer service experience required.
• Familiarity with CRM software (HubSpot preferred).

Responsibilities

• Coordinate handoffs from Sales to Operations.
• Create and manage submittal packages and supporting documentation.
• Track submittals and maintain project records in HubSpot.
• Prepare and distribute Operation & Maintenance manuals.
• Communicate project status, production schedules, and shipment updates.
• Assist with replacement parts and technical support.
• Prepare quotes for replacement parts and repair requests.
• Support cross-functional teams to resolve customer and project needs.
• Identify process improvements to enhance the customer experience.
