Job summary

Vistex is seeking a Business Operations Analyst to provide operational coordination across Solution Delivery leadership and the SD Global Leadership Team. The role focuses on coordinating day-to-day activities, implementing processes, tracking milestones, and preparing leadership-ready data and materials.

The ideal candidate brings 5+ years of operations coordination, strong organizational and communication skills, and advanced Microsoft Office proficiency.

Qualifications

• 5 years of operations coordination or similar supporting senior leadership.
• Strong organizational and follow-through skills.
• Experience gathering, organizing, and presenting data for leadership reviews.
• Coordinate cross-functional initiatives and support implementation of processes and procedures.
• Strong meeting management: agenda prep, minutes, and follow-ups.
• Self-directed, detail-oriented problem solver in a dynamic environment.
• Excellent written and verbal communication with senior leaders and diverse teams.
• Strong planning, time management, and stakeholder management.
• Advanced proficiency with Word, Excel, PowerPoint and SharePoint.

Responsibilities

• Coordinate day-to-day operational activities across the organization in partnership with Solution Delivery leadership.
• Support leadership-led process standardization by coordinating activities and documenting processes; assist with implementation.
• Coordinate initiatives and projects with the Global Leadership Team, tracking milestones, owners, dependencies and deadlines.
• Collaborate with SVP of Solution Delivery to gather, organize, validate, and maintain data for reviews and decisions.
• Prepare and maintain operational reports, trackers, presentations, and materials using Office tools.
• Monitor commitments, follow up on actions, and escalate risks or delays when needed.
• Coordinate leadership and operational meetings; prepare agendas and record decisions and follow-up actions.
• Provide coordination support for prioritize initiatives and reporting with Solution Delivery leadership.
• Assist with process maintenance, documentation, and continuous improvement activities.
• Support onboarding of new Solution Delivery personnel and other department needs.
• Provide limited clerical support while focusing on operational coordination and execution.
• Coordinate department events and cross-functional activities.
