Job summary

PYP is seeking a procurement professional to support the procurement team with vendor data maintenance, order tracking, and reporting. The role involves ensuring timely material receipt and accurate invoicing while coordinating with multiple departments and branches.

The position requires basic MS Word/Excel skills, 1+ year of experience, and high school level education. Automotive background and college coursework are a plus.

Qualifications

• High School diploma or GED required.
• 1+ year of experience.
• Strong MS Word/Excel and data entry skills.
• Ability to create, maintain, and present documents and reports.

Responsibilities

• Update and maintain product/vendor data in internal systems with dates, notes, and work order status.
• Review vendor order acknowledgments for accuracy including descriptions, lead times, quantities, and pricing.
• Provide PO numbers to confirm order placements and track shipments.
• Maintain vendor scorecard reflecting customer satisfaction.
• Reconcile purchase orders and invoices.
• Coordinate with Procurement and other departments; liaise with branch locations to meet receiving and put-away goals.
• Organize meetings to improve procurement efficiency; assist in preparing and auditing RFPs.
• Generate reports such as Supplier Performance, Spending by Commodity and Cost Savings.
• May manage general services such as office supplies and mail distribution.
• Assume other duties as assigned.
