Job summary

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is seeking a Conference Coordinator to manage end-to-end conference logistics in support of the CDP, based in Bethesda, MD.

Responsibilities include site selection, virtual platform setup, budgeting, and on-site coordination with venue staff. Qualifications include a Bachelor's degree and 6–8 years of relevant experience, with preferred CMP certification and ability to obtain a Public Trust.

Qualifications

• Knowledge of conference/meeting industry standards.
• Skilled in negotiating for services and support.
• Effective written and verbal communication.
• Ability to work independently and in a team.
• Intermediate skills with online conferencing platforms (Zoom).
• Ability to obtain and maintain a T1/Public Trust background check.

Responsibilities

• Coordinate with client/agency point of contact to identify requirements and meet them.
• Identify and procure conference/meeting sites for in-person events.
• Identify and arrange suitable platforms for virtual events.
• Negotiate contracts for conference services and/or concessions; manage requisitions and payments.
• Develop the conference/meeting website and manage the registration process.
• Provide on-site conference/meeting support including attendee registration and coordination with staff.
