Job summary

Highspring LLC (d/b/a Vaco by Highspring) seeks a highly organized Project Coordinator / Operations Coordinator to support R&D, operations, and office functions in a growing startup. Work closely with leadership to build the operational foundation for future success.

You will coordinate timelines, track progress, and prepare reports for executives, while helping maintain an efficient and productive work environment as the company scales.

Qualifications

• Bachelor's degree or equivalent experience.
• Experience in project coordination, operations, or admin support.
• Ability to manage competing priorities.
• Experience supporting engineering/medical device teams preferred.

Responsibilities

• Coordinate project timelines, deliverables, and action items across multiple initiatives.
• Track project progress and maintain documentation using Smartsheet, Excel, and other business tools.
• Support day-to-day office operations, facilities needs, vendor coordination, and inventory management.
• Prepare reports, presentations, and project updates for leadership and stakeholders.
• Help create an organized, productive, and efficient work environment while supporting evolving business needs.
