Job Title: Staff Accountant

The Staff Accountant role is a versatile position within the Accounting and Finance department. Responsibilities will evolve based on departmental needs. Initially, the role involves supporting the Senior Accountant with Cash (Accounts Receivable and Collections), assisting the Project Accountant with billing, and supporting the Accounts Payable team with invoice entry and statement reconciliation. As proficiency grows, additional tasks with greater responsibility will be assigned.

Objectives of this role:

• Support Senior Accountant – Cash in managing Accounts Receivable and Collections follow-up
• Assist Project Accountant with creating, sending, scanning, and filing invoices
• Support Accounts Payable with invoice entry, PO creation, and vendor statement reconciliation

Primary Responsibilities:

• Respond promptly to customer requests for documentation or invoice corrections
• Make follow-up collection calls as directed by Sr. Accountant – Cash
• Coordinate re-issuance of stale checks as directed by Sr. Accountant – Cash
• Enter customer invoices into payment portals
• Email or mail invoices to project-related customers
• Follow up with customers on depleted Purchase Orders
• Assist the field team by opening Purchase Orders
• Ensure timely PO closeout by following up with PO owners
• During peak periods, assist Accounts Payable with invoice entry
• Reconcile monthly vendor statements against entered invoices
• Perform other duties as assigned

Required Skills and Qualifications:

• Knowledge of accounting and corporate finance principles
• Excellent verbal and written communication skills
• Strong organizational, analytical skills, and attention to detail
• Ability to multitask and prioritize effectively
• Maintain confidentiality of company and client information
• Understanding of GAAP and ability to adhere to it
• Proficiency with Microsoft Office Suite and accounting software
• Desire for professional growth through training
• Flexibility to shift between tasks as needed

Education and Experience:

• Bachelor’s degree in Accounting or related field
• 1-3 years of professional accounting experience in a corporate setting
• Construction accounting experience and Viewpoint Spectrum familiarity are a plus
• Understanding of GAAP principles
